Summary:
The Fleet Operations Manager coordinates and manages daily dispatch operations, route planning, and driver supervision to ensure timely and efficient service delivery. This hands-on leadership role oversees fleet utilization, driver performance, safety compliance, and administrative functions including payroll management and scheduling. The Fleet Operations Manager serves as a key operational leader, ensuring adherence to safety protocols, regulatory requirements, and company standards while optimizing routes to maximize efficiency and maintain high levels of customer satisfaction.
Responsibilities:
Fleet Operations
  • Coordinate and manage daily dispatch operations to ensure timely and efficient service delivery across all routes
  • Plan, optimize, and oversee routes to maximize efficiency, reduce costs, and improve service quality
  • Manage and supervise drivers, ensuring adherence to safety protocols, company standards, and DOT regulations
  • Track and evaluate driver performance, conduct regular assessments, and provide coaching and feedback to improve capabilities
  • Measure and monitor driver and asset utilization to ensure we are fully utilizing our fleet to capacity and optimizing resource allocation
  • Coordinate vehicle assignments, load planning, and delivery schedules to meet operational demands
  • Respond to operational issues, delays, or service disruptions and implement corrective actions quickly

Administrative Duties
  • Process and manage driver payroll, including hours tracking, overtime, and compensation accuracy to ensure timely and correct payment
  • Create and maintain driver schedules, manage time-off requests, and ensure adequate coverage across all shifts and routes
  • Maintain accurate records of routes, driver hours, vehicle logs, fuel consumption, and incident reports
  • Ensure all drivers maintain proper licensing (CDL where required) and meet regulatory requirements including medical certifications and background checks
  • Manage driver onboarding, orientation, and training programs to ensure compliance and operational readiness
  • Process and maintain documentation for DOT compliance including driver qualification files, hours of service records, and vehicle inspection reports

Safety & Quality
  • Promote and enforce safety standards, conduct regular safety meetings, and implement corrective actions to address unsafe behaviors or conditions
  • Investigate incidents and accidents, document findings, complete required reporting, and implement preventive measures to reduce future occurrences
  • Monitor vehicle inspections, maintenance schedules, and coordinate necessary repairs to ensure fleet reliability and safety
  • Ensure compliance with OSHA, DOT, FMCSA, and other regulatory requirements related to fleet operations
  • Conduct pre-trip and post-trip inspection audits to verify driver compliance with safety procedures
  • Address service-related concerns and customer complaints to maintain high satisfaction levels and service quality
  • Implement quality control measures to ensure on-time performance, delivery accuracy, and professional service standards

Performance Management & Continuous Improvement
  • Develop and monitor key performance indicators (KPIs) including on-time delivery, fuel efficiency, safety metrics, and driver productivity
  • Analyze operational data to identify trends, bottlenecks, and opportunities for improvement
  • Implement process improvements to enhance efficiency, reduce costs, and improve service delivery
  • Conduct performance reviews and provide developmental feedback to drivers
  • Recognize and reward high performance while addressing performance deficiencies through coaching or corrective action

Qualifications:
  • High school diploma or GED equivalent required
  • Minimum 3-5 years of experience in fleet management or transportation operations, preferably with local delivery services
  • Proven ability to manage, motivate, and develop driver teams in a fast-paced environment
  • Experience with payroll processing and time tracking systems
  • Hands-on experience with dispatch operations and route planning
  • Understanding of DOT regulations, FMCSA requirements, safety compliance, and driver qualification requirements
  • Strong verbal and written communication skills with ability to interact professionally with drivers, customers, and management
  • Proficiency with fleet management software, dispatch systems, and Microsoft Office Suite (Excel, Word, Outlook)
  • Strong organizational and time management skills with ability to manage multiple priorities
  • Valid driver's license required
  • Ability to work flexible hours including early mornings, evenings, or weekends as operational needs require

Additional Qualifications, Preferred:
  • Associate's or Bachelor's degree in Business Administration, Logistics, Transportation Management, or related field
  • Experience managing private shuttle or employee transportation fleets
  • Familiarity with GPS tracking systems and fleet management technology (Geotab, Samsara, Fleet Complete, or similar platforms)
  • Background in logistics, distribution operations, or supply chain management
  • CDL (Commercial Driver's License) or experience as a professional driver
  • Knowledge of route optimization software and transportation management systems (TMS)
  • Experience with vehicle maintenance management and preventive maintenance programs
  • Strong problem-solving and conflict resolution skills
  • Understanding of fleet cost management including fuel, maintenance, and total cost of ownership
  • Experience with electronic logging devices (ELD) and hours of service compliance
  • Lean or Six Sigma certification with process improvement experience

Work Environment:
This position operates in a combination of office and active transportation/fleet environments. The role involves coordination from an office setting as well as regular interaction in yard areas, parking lots, and vehicle maintenance facilities. The position may require exposure to outdoor weather conditions, vehicle exhaust, and moderate noise levels. Physical requirements include the ability to walk yard areas, climb into vehicles for inspections, and occasionally lift up to 50 lbs. The role may require early morning starts, evening coverage, or weekend availability to support operational needs.

$70,000-$78,000
