Job description

  • Provides administrative assistance to the staff at the Corrections Training Academy (CTA)
  • Gathers and organizes data for all training classes
  • Compiles class rosters, makes badges using computer program, pulls keys, signs in new students, and makes room changes when necessary
  • Produces finished copy from rough copy, machine dictation or shorthand (e.g. correspondence, memos, forms, reports minutes of administrative meetings, rosters and schedules) requested or required by the CTA supervisory staff
  • Edits and corrects information from written or oral instructions which may be sensitive and confidential in nature
  • Exercise diplomacy and discretion in release of information
  • Independently responds to routine written or oral correspondence for information, not requiring the attention of the supervisor (e.g., procedures to follow for employment, request for information from applicants, DRC and other state agencies
  • Codes information for filing and ready retrieval
  • Files Department of Rehabilitation and Correction (DRC) training assessment program data, employee information and other permanent information (e.g. applicant names and addresses, assessment results etc.) in up-to-date fashion for immediate retrieval by using PC with software to enter all assessment information and files of DRC employees
  • Reviews files for outdated information and recommended changes, as well as disposal Collects and collates data for statistical research by gathering data which will be used to generate reports for supervisory staff
  • Completes follow up work on training, assessment and other areas to ensure job completion and report to supervisor
  • Assists supervisor with appropriately delegated tasks (e.g. monthly reports required by DRC, Operation Support Center for supervisors' signature, all assessment data
  • Performs general clerical duties (e.g., Acts as receptionist, answer, screen and route telephone calls, take messages, schedule appointments, greet visitors, open and distribute mail, make photocopies
  • Attends meetings, trainings and conferences

1 yr. trg. or 1 yr. exp. in secretarial science or business office applications. For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.
