Position Information
Job Title Office Assistant II Nature of Work
This is an advanced classification that performs complex clerical and reception work involving common office practices and procedures and requiring knowledge of standardized policies and procedures and confidentiality in the disposition of work matters.Work requires some independent judgment, problem solving, and minor decision making skills based on established policies and guidelines.
Performs varied tasks such as maintaining and processing employee or student records and information and reception and clerical support for the office or department. Work includes producing reports and documents from rough draft or verbal instruction; transcribing and distributing meeting minutes; and coordinating appointments, meetings and travel arrangements. Limited leadership may be exercised over small teams of co-workers or student employees. General supervision and oversight is provided to employees in this classification.
Examples of Work Performed
This position supports the Academic Deans and the Office of the Vice President for Academic Affairs in a team-based approach.
Essential duties:
Provide support for academic programs as directed
Provide support for Child Development Center (CDC)
Maintain, organize and monitor office records, inventory and processes
Assist supervisor(s) and chairs with regular communications and document maintenance
Develop and organize reports as directed by the supervisor such as faculty load reports, schedules, etc.
Maintain budget and expenditure reports as directed by the supervisor and Vice President for Academic Affairs
Enter and proofread data for program accountability and improvement
Develop and proofread reports
Provide training for new technology
Respond to phone and e-mail requests for information
Keep minutes of meetings as assigned
Assist supervisor with continuous improvement processes
Oversee special projects and functional aspects as established by the supervisor or the Vice President for Academic Affairs
Secondary duties: (Cross-training)
Cross-train with other office assistants
Secure office supplies for the supervisor, faculty and staff
Other duties as assigned

Graduation from High School or educational equivalent and related experience.
