Job description

Job Summary:

Enables select leaders to focus on strategic priorities by managing complex schedules, communications, and confidential information. Anticipates needs and proactively addresses standard and varied challenges, ensuring seamless daily operations and minimizing disruptions. Strengthens organizational effectiveness by fostering strong relationships with internal and external stakeholders, representing leadership with professionalism and discretion. Drives process improvements and implements leading practices to optimize executive support and enhance team productivity. Contributes to a culture of excellence and collaboration by modeling adaptability, accountability, and a commitment to high-quality service.

Key Responsibilities:

Coordinates routine and non-routine calendars, meetings and events for select leaders, ensuring alignment with organizational priorities and timely communication. Manages confidential correspondence, documents, and information with the highest level of discretion and professionalism. Prepares, reviews, and edits executive-level presentations, reports, and communications to support decision-making and strategic initiatives. Liaises with senior leaders, board members, clients, and external partners to facilitate effective communication and follow-up on critical action items. Tracks travel arrangements and expense reporting for executives, ensuring accuracy and compliance with organizational policies. Implements and refines moderately complex administrative processes, identifying opportunities for greater efficiency and consistency across executive support functions. Supports onboarding and mentoring of administrative team members, sharing expertise within the team.

Education Qualifications:

High School Diploma/GED or equivalent experience required.

Work Experience:

4 - 6 years of experience in business administration, executive support, or a related field required.

Certifications and Licenses:

Certified Administrative Professional (CAP) certification preferred.
