Administrative Support For Logistics Department

Mission: Provide administrative support and support to the logistics operating department.

Responsibilities:

  • Maintain an updated truck file, including registrations and rental contracts.
  • Assist with the requirements made by DOT for random alcohol and drug testing, screening appointments with CDL drivers.
  • Coordinating alcohol and drug testing for new drivers.
  • Report operational expenses: road fines (overweight), traffic violations, payments to Consortium, payments to Verizon, office stationery expense, meals and entertainment, hotels, staff, or other department per diem (scan receipts and send to accounting).
  • Record and maintain accident file, logbook report, and DOT inspections.
  • Prepare monthly reports of deliveries, claims, and product returns. Route maintenance (address, customer lists in SAP and Excel files with stop number, time windows).
  • Support in the hiring and pre-onboarding process of new drivers, in collaboration with the human resources department.
  • Assist drivers with the use of tablets, fuel credit cards, and the use of apps on their cell phones, etc.
  • Make necessary purchases for the department and logistics operations, including uniforms for drivers; Receive per diem receipts, separate receipts by geographic area, and enter per diem information into an Excel sheet.
  • Electronic log-book training to the representative in conjunction with the Logistics Coordinator; propose design options for new routes and modifications of existing ones.

Requirements:

Education: Minimum of HS; 1-2 years of experience

Skills: Computer/Software: MS office, Excel, PPT, word Doc

Knowledge: Certificados y accreditations: Bachelor's degree or 2-3 years of experience in the related field

Skills: Organized, orderly, self-managed, conflict management, customer-focused, collaborative, action-oriented.

Language: Spanish, English (Intermediate level)

Special Specifications: availability of time, flexible schedule.
