Position Title: Field Services Operations Specialist
Position Location: Remote - work from anywhere in the United States. Must be located near a major airport.
Travel Requirements: Up to 15% domestic travel. Must have a valid driver's license and ability to rent vehicles.
JOB SUMMARY
The Field Services Workforce & Reporting Analyst supports the Field Services Operations function with a primary focus on workforce analytics, staffing visibility, dashboard development, forecasting support, and recurring manpower reporting. This role provides direct analytical support to the FS Associate Director - Ops & Personnel by converting workforce data into clear, actionable reporting that supports leadership decision-making across Field Services programs.
This person partners closely with Field Services Operations leadership, program-level stakeholders, recruiting, HR, and internal operations partners to maintain accurate headcount data, validate staffing inputs, identify trends, and improve visibility into current and projected manpower needs. The role is intended to strengthen the department's ability to understand active headcount, open requisitions, pending starts, future demand, utilization indicators, and staffing risks across programs.
The Field Services Workforce & Reporting Analyst will be responsible for maintaining reliable reporting routines, improving data quality, documenting assumptions, and helping standardize the way workforce information is collected, analyzed, and presented. This person will communicate and operate in line with organizational goals and values, departmental objectives, and the priorities established by Field Services Operations leadership.
The Field Services Workforce Planning Analyst will receive limited direction on day-to-day work and general instruction on new projects, tasks or assignments. Will execute and assist team leadership on projects, tasks or assignments of complex scope. Will work independently or under limited supervision.

ESSENTIAL FUNCTIONS
Workforce Analytics & Forecasting Support (35%)
  • Support development, maintenance, and continuous improvement of workforce planning tools, forecasting models, staffing summaries, and manpower tracking files
  • Analyze staffing trends, headcount changes, projected starts, open needs, attrition signals, and program-level demand inputs to support near- and long-term planning
  • Prepare summaries comparing current staffing, pending starts, approved requisitions, and projected program needs for FS Associate Director and leadership review
  • Support probability-weighted forecasting, planned versus active headcount views, and other workforce planning calculations as directed by Field Services Operations leadership
  • Identify potential staffing gaps, data inconsistencies, reporting conflicts, and trend-based risks; elevate findings with clear supporting information

Reporting & Dashboard Development (35%)
  • Build, maintain, and refine dashboards, scorecards, Excel workbooks, Smartsheet reports, and recurring workforce reporting packages for leadership review
  • Improve visibility into active headcount, pending starts, open requisitions, projected demand, staffing gaps, and workforce movement across Field Services programs
  • Prepare weekly, monthly, quarterly, and annual workforce reports that support executive updates, program reviews, recruiting discussions, and operating cadences
  • Convert raw staffing data into clear business insights, visual summaries, charts, tables, and concise leadership-ready reporting outputs
  • Maintain consistent reporting formats, definitions, filters, formulas, and presentation standards across Field Services Operations reporting products

Data Quality, Validation & Source Alignment (15%)
  • Validate data quality and alignment across rosters, headcount plans, requisition trackers, pending start lists, program inputs, and reporting source files
  • Research and resolve discrepancies between workforce reports, dashboards, source files, and stakeholder inputs before information is distributed
  • Maintain documented assumptions, calculation logic, report definitions, source ownership, update cadence, and version control practices for workforce reporting
  • Support data intake routines that improve accuracy, repeatability, and confidence in recurring Field Services workforce reporting

Operational Review Support (10%)
  • Support preparation of monthly, quarterly, and annual workforce reviews, leadership briefings, and staffing strategy discussions
  • Partner with Field Services Operations leadership to organize program-level inputs into clean reporting packages, summary tables, and decision-support materials
  • Assist with tracking follow-up items, reporting requests, and action items generated from workforce planning and staffing review meetings
  • Support ad hoc analysis related to hiring plans, program staffing, workforce movement, recruiting progress, and leadership information requests

Process Improvement & Reporting Standardization (5%)
  • Recommend improvements to reporting tools, reporting flow, data structure, intake practices, and recurring workforce reporting routines
  • Assist with documentation of process maps, job aids, report instructions, definitions, assumptions, and calculation logic for Field Services workforce reporting
  • Identify opportunities to improve automation, visibility, accuracy, and repeatability within Field Services Operations reporting processes

POSITION REQUIREMENTS (INTERMEDIATE LEVEL FOR ALL THE FOLLOWING)
  • Knowledge of workforce planning, headcount tracking, business analytics, reporting, and operational data management practices
  • Knowledge of field service, construction, commissioning, engineering, staffing, or mission critical environments preferred
  • Knowledge of recruiting lifecycle data, requisition tracking, candidate pipeline reporting, or applicant tracking system outputs preferred
  • Skilled in Excel-based reporting, formulas, pivot tables, data validation, charting, and structured workbook management
  • Skilled in converting raw staffing data into clear business insights, summaries, dashboards, and leadership-ready reporting outputs
  • Skilled in completing assignments accurately with strong attention to detail and recurring data validation discipline
  • Ability to explain trends, risks, assumptions, and reporting outputs clearly to technical and non-technical audiences
  • Ability to work successfully in a remote environment through effective communication, organization, self-motivation, proactiveness, and follow-through in a distraction-free workspace
  • Ability to manage multiple reporting priorities simultaneously, work under pressure, and meet close deadlines
  • Ability to identify issues, recommend actions, and escalate data quality or reporting risks appropriately
  • Proficient in MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams) along with strong organizational skills for file management
  • Experience with Smartsheet, Power BI, ATS reporting, dashboard tools, workforce planning systems, or similar reporting platforms preferred
  • Ability to learn client, department, and/or industry-specific management software as required
