PromptCare is seeking a reliable and organized Dispatcher to join our team. The Dispatcher is responsible for scheduling and the supervision for all new respiratory orders, oxygen deliveries, pick-ups, and disposable supplies in accordance with all State and Federal regulations and accrediting body standards to provide safe, quality patient services. The dispatcher must respond to all incoming emails and responsible for setting up vehicle maintenance, scheduling oxygen refills with our oxygen vendor. Filing paperwork, assisting in pulling orders for the next day and acting as a back-up driver when needed. Reports to:: the Departmental Supervisor or Manager.

Job Type: Full-Time, 40 hours per week, Mon-Fri

Location: Durham, NC


Requirements:
  • High School Diploma or equivalent
  • 2 years dispatching experience preferred
  • Able to re-prioritize quickly in fast-paced, highly stressful environment
  • Must possess good verbal communication, administrative, organizational and leadership skills
  • Must have strong technical skills, good sense of direction and ability to read maps
  • Computer savvy with strong knowledge in MS Excel spreadsheets
  • Excellent telephone skills, knowledge of medical equipment and maintenance
  • Knowledge of the geographic area of service, New Jersey, New York, Brooklyn, and Staten Island NY


Job Responsibilities, included but not limited to:

  • Assists in assembly of equipment for delivery
  • Prepares and coordinates weekly on-call schedule for HCTs
  • Pulling and staging orders for the next day
  • Q.A. driver’s paperwork for completion before giving to customer service, also Q.A. all other paperwork from drivers such as maintenance log of, route sheets, oxygen manifest daily vehicle check etc
  • Track driver’s overtime, on call and productivity report
  • Required being the back-up driver when drivers are out sick or on vacation or to many add-ons throughout the day
  • Communicates in both a verbal and written manner with Warehouse Supervisor and Purchasing regarding equipment defects/recalls in the field
  • Supervises the delivery and pick-up of HME, mediation, supplies and oxygen
  • Supervises personnel to correctly load deliveries onto trucks in a timely manner
  • Efficiently coordinates technician’s delivery routes daily
  • Prioritizes same day deliveries for completion according to patient need
  • Efficiently coordinates the pick-up of rental equipment, oxygen tanks
  • Inspects off-loads for proper handling of rental equipment and per Policies and Procedures
  • Assists/supervises in the repair and preventive maintenance of rental equipment in the field
  • Inspects vehicles in accordance with State and Federal regulations and accrediting body standards
  • Supervises the inventory control of vehicle emergency supplies and equipment
  • Arranges for vehicle preventive maintenance and repairs
  • Keep vehicle maintenance board up to date
  • Uses appropriate protective barriers as necessary and outlined in Policies and Procedures
  • Accepts other duties as assigned

Requires the ability to lift files, open filing cabinets and bend or stand as necessary. This position requires the ability to occasionally lift office products and supplies, of 25 pounds or more.
