Dispatch & Patient Coordination Specialist
Full-Time | Greater Houston Area

Role Overview
We are seeking a highly organized Dispatcher & Patient Coordination Specialist who is Bilingual in English and Spanish

You will dispatch mobile diagnostic services, conduct patient pre-qualifications, maintain disciplined documentation, and ensure proactive, closed-loop communication. Success requires strong follow-through, prioritization skills, and calm professionalism under pressure.

Key Responsibilities

  • Triage incoming orders (fax, portal, email, phone)

  • Accurately log all activity

  • Assign technologists based on location, modality, and urgency

  • Coordinate same-day and next-day appointments efficiently

  • Confirm appointments with clients and set clear expectations

  • Conduct outbound calls to gather demographics and scheduling details

  • Assess exam readiness and escalate barriers

  • Verify insurance using approved tools (Availity, Novitas and others)

  • Maintain complete, real-time notes for every interaction

  • Proactively update facilities on scheduling issues

  • Coordinate closely with technologists and billing staff

What Success Looks Like

  • Orders are accurate and rarely require rework

  • Missed exams are minimized through proactive follow-up

  • Technologists arrive informed and prepared

  • Documentation is complete and reliable

  • Patients and facilities feel confident in our process

Qualifications

  • Experience in dispatch, scheduling and healthcare coordination

  • Computer skills

  • Strong customer service mindset

  • Exceptional attention to detail and documentation discipline

  • Ability to manage high call volume

  • Strong prioritization and time management skills

  • Clear written and verbal communication

  • High accountability and follow-through

  • Bilingual - Spanish and English

Schedule
Willing to work Tuesday through Saturday approximately 10am-6pm. Flexibility and reliability are essential. Saturday will be a work from home day.
