Job description

SUMMARY: The Transportation Billing Dispatcher is responsible for coordinating transportation services, dispatching drivers and vehicles, tracking deliveries or pickups, and ensuring accurate billing and documentation. This role serves as a key link between drivers, customers, and accounting personnel to maintain efficient transportation operations and timely invoicing.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Operations:

  • Arranges transportation of equipment with customers and with external freight companies.
  • Monitor transportation routes and delivery schedules to ensure on-time service.
  • Communicate with haulers regarding assignments, route changes, and customer requirements.
  • Prepare, review, and process transportation invoices, freight bills, and related documentation.
  • Verify trip records, mileage, fuel charges, detention fees, and other billable items.
  • Resolve billing discrepancies by coordinating with customers, haulers, and internal departments.
  • Maintain accurate dispatch logs, transportation records, and billing data.
  • Track shipments and provide status updates to customers and management.
  • Ensure compliance with company policies, transportation regulations, and safety requirements.
  • Generate operational and billing reports as needed.

Customer Service:

  • Monitors timely fulfillment of transportation of customer orders to ensure a high level of customer satisfaction.
  • Proactively looks for back hauls to help lower business costs.
  • Communicates with customers in a clear, professional and efficient manner.
  • Assures that customer changes in transportation needs are quickly and seamlessly handled.
  • Processes customer orders and quotes as related to transportation issues, expertly resolves negotiations and issues.

Education and/or Experience: 

  • High school diploma or equivalent; associate degree preferred.
  • Previous experience in dispatching, transportation, logistics, billing, or customer service.
  • Strong knowledge of transportation operations and freight documentation.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced environment and meet deadlines.

Computer Skills:

  • Must be computer literate in Microsoft Office Suite.

TRAVEL:

  • This job requires routine travel within close proximity of regular assigned work locations
