Job description

The Accounting Assistant supports the Finance Department by performing various administrative and clerical tasks to ensure efficient and accurate financial operations. This role requires attention to detail, organizational skills, and a basic understanding of accounting principles. The ideal candidate will assist with tasks such as data entry, invoice processing, office organization, and contributing to the overall success of the Finance Department.

Key Responsibilities
  • Assist with accounts payable and accounts receivable processes, including invoice processing, payment preparation, and billing.
  • Perform data entry to record financial transactions accurately into accounting software and/or spreadsheets.
  • Reconciliation of bank accounts.
  • Ad hoc reporting (pulling reports from multiple on-line platforms)
  • Maintain organized and up-to-date filing systems for financial records and documents in a paperless environment.
  • Maintain and manage calendars, schedule appointments and meetings, create agendas and take meeting minutes as necessary.
  • Tracking of credit card receipts.
  • Sort and deliver incoming mail; prepare and make bank deposits; order supplies, and run other errands as deemed necessary.
  • Provide support to the Finance Department as needed, including participating in special projects and initiatives.
  • Perform other duties as assigned to support the overall goals of the accounting department.
Requirements
  • High school diploma or equivalent plus one year of accounting-related experience required; an associate or Bachelor's Degree in Accounting, Finance, or related field a plus.
  • Basic understanding of accounting principles and practices.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Familiarity with accounting software (e.g., QuickBooks, Sage,) is a plus.
  • Experience with Concur a plus.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills, with the ability to work collaboratively in a team environment.
  • Ability to maintain confidentiality and handle sensitive financial information with integrity.
  • Willingness to learn and adapt to new processes and procedures as needed.
  • Personal mode of transportation required.
Position Type/Expected Hours of Work

This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 AM to 5:00 PM, but hours could vary according to business needs.
