Job description
Element has an opportunity for an Office Manager at our Extractables & Leachables (E&L) testing Center of Excellence in Bend, OR. The primary responsibilities of this position are to manage the administrative and accounting aspects of a cGMP-regulated testing laboratory under the direction of the General Manager.

Responsibilities- Serve as a trusted partner and "right hand" to the General Manager, providing proactive support across administrative, financial, and operational activities.
- Manage day-to-day office operations, including purchasing, vendor relationships, supplies, facilities coordination, and administrative processes.
- Manage and support accounts payable and accounts receivable activities, ensuring transactions are accurate, timely, and properly documented.
- Prepare, organize, and maintain financial, operational, and management reports, records, and other business documentation with a high degree of accuracy.
- Anticipate needs, identify opportunities to improve processes, and independently take action to keep the organization running efficiently.
- Coordinate and communicate with employees, leadership, customers, vendors, and corporate partners, handling sensitive and time-critical matters with professionalism and discretion.
- Follow standard operation procedures (SOP) and work within the laboratory quality system (FDA GMP regulated environment).
- Demonstrated experience in office management, business administration, accounting, or a related role, ideally in a fast-paced professional or technical environment.
- Strong accounting skills and hands-on experience with accounts payable, accounts receivable, invoices, reconciliations, and financial recordkeeping.
- Exceptionally organized and detail-oriented, with the ability to manage multiple priorities, deadlines, and competing demands without losing accuracy.
- Excellent written and verbal communication skills, with judgment and professionalism to interact effectively with employees, leadership, customers, and external partners.
- Excellent skills in Microsoft Suite software including Excel, Word, PowerPoint, OneDrive, Teams and ERP systems such as D365, etc.; comfortable working with a variety of software platforms.
- Highly self-directed and resourceful; able to recognize what needs to be done, take initiative, and follow through with minimal direction. Creative, analytical, and solutions-oriented, with the ability to identify problems, develop practical solutions, improve processes, and adapt to changing business needs while collaborating with stakeholders.
- Three to six years relevant experience; experience in GMP environment preferred.
