About you

As a Client Services Coordinator, you are an experienced professional looking to take the next step of your career in commercial real estate! Your background includes delivering exceptional sales support to internal and external clients. In this position, you will be supporting marketing, operational duties, and transactional management with a high level of business acumen and entrepreneurial spirit - which means YOU will be an integral part of the team's success.

In this role, you will...

  • Assist with listing pitches, presentations, proposals, RFI/RFP responses, surveys, and general marketing support.

  • Prepare lease and sales comparable surveys and coordinate data collection with finance, marketing, research, and other departments.

  • Coordinate, edit, and maintain marketing collateral and listing materials.

  • Create and complete tour packages for brokers and support listing-related marketing campaigns.

  • Maintain property listings, update broker transaction records on company websites, and track marketing activities.

  • Coordinate listing inquiries, tours, client activity reporting, and smaller-scale broker events.

  • Prepare and facilitate broker agreement changes and update transaction and due diligence documents.

  • Support transaction processing, auditing, and data entry into required systems and databases.

  • Coordinate with clients to gather information, organize meetings, and obtain required documentation.

  • Provide administrative support including file management, invoicing, correspondence, marketing distribution, and office maintenance.

  • Maintain broker databases, client and prospect records, and assist with scheduling meetings and travel.

  • Provide general office support, including reception coverage, answering phones, and other duties as assigned.

What you'll bring

  • At least 2+ years of sales or administrative experience in a professional environment (preferably real estate, sales, legal, architectural, construction or related)

  • Commercial real estate experience is an asset.

  • High proficiency in MS Office Suite (Word, Outlook, Excel, PowerPoint)

  • High level of initiative and excellent communications skills, both oral and written
