About the Agency: The Mississippi Department of Rehabilitation Services (MDRS) is a state agency dedicated to helping Mississippians with disabilities to live and work independently. MDRS serves through four major programs: Vocational Rehabilitation (VR), Vocational Rehabilitation for the Blind (VRB), Office of Special Disability Programs (OSDP), and Disability Determination Services (DDS). Services also include support through Assistive Technology, the Office of Business Development and much more. It is the mission of MDRS to provide appropriate and comprehensive services in a timely and effective manner. Programs and services assist individuals with disabilities to gain employment, retain employment, and to live independently. About the Position: The Administrative Support Specialist works in conjunction with the Director of AbilityWorks to provide administrative oversight and support for various Community Rehabilitation Programs within the Office of Vocational Rehabilitation. This position requires comprehensive knowledge of agency policies and procedures, strong organizational skills, and the ability to make independent decisions. The Admin Support Specialist will serve as a resource for other Administrative Support Assistants throughout the state, offering training and support as needed. A high level of discretion and confidentiality is essential in all aspects of this role. Key Responsibilities will include, but not limited to:• Mange office including data entry, typing and composing correspondence, supply ordering, appointment scheduling, and personnel support. Coordinate training sessions and meetings, maintain records and files, and manage requisitions and expense approvals.• Provide direct support to Ability Works Facility Managers, including preparing, editing, and maintaining confidential files and reports.• Draft and type correspondence, manage incoming and outgoing mail, and operate standard office equipment.• Handle incoming and outgoing communications, including phone calls, emails, and mail.• Maintain and update agency manuals, reports, and other official documents on a regular basis.• Review travel vouchers, travel budgets, and funding requests for accuracy; monitor and report on budget status.• Assist the Director of AbilityWorks with reviewing management and performance reports.• Act as a point of contact in the Director of Ability Works's absence; ensure timely distribution and follow-up of relevant information and reports.• Assist Vocational Rehabilitation Director with various administrative and operational tasks.• Provide assistance and guidance to Administrative Support Assistants across the state, as needed.• Perform additional administrative tasks as assigned.
