Job description

The Production Manager, Audio Visual (AV) is responsible for the seamless planning, coordination, and execution of all AV and production requirements. This role will ensure high-quality service delivery, operational excellence, and strong client engagement.

Key Contributions of the Role
  • Serve as the primary point of contact for clients through the lifecycle of the production while maintaining a positive and professional relationship.
  • Establish and maintain the Critical Path with the client to ensure all Blue Diamond service commitments are upheld.
  • Respond to all internal and external email communications promptly, ideally within 24 hours.
  • Ensure all project planning details are accurately maintained and updated within the IntelliEvent system.
  • Prepare all room diagrams, including scenic layouts, room configurations, rigging plots, and other requested schematics, and deliver them to clients within four days maximum.
  • Source all cross-rental needs through the appropriate sub-rental PC staff.
  • Secure necessary operational resources (e.g., hydraulic lifts) required for effective event production.
  • Manage communications with facility staff to optimize operational efficiency and meet or exceed client expectations.
  • Contract with external labor resources as needed, including freelancers, labor companies, and union labor.
  • Develop a complete production schedule, including AV office operations, security coverage, and crew meal timing.
  • Coordinate and submit electric/power and internet service orders on behalf of clients as needed.
  • Oversee the financial performance of each project, ensuring:
    • Adherence to budget expectations
    • Appropriate markups for third-party vendors
    • Effective labor cost oversight and billing accuracy
    • Controlled housing and transportation expenditures
  • Partner with the Sales team to ensure all additions or changes to services are captured and billed appropriately.
  • Work collaboratively with Shepard Exposition Service (SES) team members and other partners to deliver the highest level of Blue Diamond service.
  • Gather all client requirements within appropriate planning timelines (initial requirements at 60 days out, and final requirements at 15 days out), referencing prior year data for accuracy.
  • Respond to on-site changes with professionalism, urgency, and with a solution-oriented mindset while maintaining service quality.
  • Conduct on-site briefings with AV personnel, ensuring all freelancers adhere to company expectations regarding conduct, appearance, and performance.

Requirements

  • Minimum of 5 years of experience in AV production, event management, or related field.
  • Proven experience managing large-scale AV productions or live events, demonstrating the ability to handle complex projects from planning through execution.
  • Strong organizational, time‑management, and project‑coordination skills.
  • Proficiency in AV and event management software; IntelliEvent experience preferred.
  • Demonstrated leadership and team management skills, including conducting on-site meetings and ensuring team adherence to company standards.
  • Excellent problem-solving skills and the ability to adapt quickly to on-site changes or unexpected challenges.
  • Reliable transportation and ability to travel between multiple event locations. Associates without a valid driver's license and auto insurance must assume all travel‑related expenses per company insurance policy.
  • Excellent verbal and written communication skills.
  • Ability to work on multiple tasks simultaneously in a fast-paced environment.
  • Bachelor’s Degree in relevant field; related experience within the AV space may be exchanged for formal education.
