Job description

Position: PROJECT COORDINATOR

Supervisor: Operations Manager

Hours: Full-Time, 40 hours per week

FLSA Status: Salaried Exempt

Salary: $55,000 - $72,000 depending upon experience

POSITION SUMMARY: We are seeking a highly organized and motivated Project Coordinator whose primary role is to provide excellent customer service to our clients. This position is responsible for planning, executing, and finalizing projects according to strict deadlines and within budget. This role involves coordinating the efforts of both internal departments as well as third-party contractors or consultants to deliver projects according to plan. This individual will also define the project's objectives and oversee quality control throughout its life cycle.

KEY RESPONSIBILITIES:

  • Budget Coordination: ensuring cost-effective solutions while maintaining quality standards
  • Manage project resources from project inception to close.
  • Coordination: Coordinate with designers, engineers, and production teams to ensure alignment on project goals and deliverables.
  • Project Planning: Develop comprehensive project plans, including scope, objectives, timelines, milestones, and resource allocation to ensure successful completion. Prepare and deliver project reports, proposals, required documentation, and presentations.
  • All Project Scheduling from project inception to completion.
  • Project Liaison: Serve as the primary point of contact for entire project and all stakeholders (clients, sales, design, procurement, production, shipping/receiving, purchasing, risk management)
  • Manage all communications and expectations throughout the project lifecycle. Conduct site visits during the project
  • Risk Management: Identify potential project risks and develop mitigation strategies to ensure project continuity.
  • Quality Control: Ensure that all deliverables meet the company's quality standards and client expectations through regular reviews and inspections. Document project progress, troubleshoot issues, lead quality assurance and confirm schedules are met
  • Timeline Management: Track project progress, adjusting timelines and resources as necessary to meet deadlines and scheduling requirements.

QUALIFICATIONS:

  • Bachelor's degree in Design, Architecture, Project Management, Business Administration, or a related field, OR Equivalent Experience
  • 4-6 years of proven project coordination experience.
  • Design firm or furniture manufacturing environment experience preferred.
  • Strong knowledge of project management methodologies and tools.
  • Proficient in project management software (e.g., Microsoft Project, Hive, AutoCad) is preferred
  • Proficient knowledge in Microsoft office suite and outlook
  • Excellent organizational, multitasking, and time-management skills.
  • Strong communication and interpersonal skills (both written and verbal) to interact with a diverse range of stakeholders.
  • Ability to interpret design specifications, technical drawings and construction documents.
  • Familiarity with sustainable design practices and materials is a plus.
  • You must be able to thrive in our fast-paced environment. Ability to prioritize, be self-sufficient and have a proactive work ethic as well as multi-tasking skills a must.
