Job Overview:

The Department Secretary in the Emergency Department provides administrative and clerical support to ensure the efficient operation of the department. Responsibilities include managing patient records, answering phones, coordinating communication between staff and departments, scheduling meetings, and maintaining confidential documentation. The role serves as a key point of contact, supporting clinical staff and helping facilitate seamless patient care and departmental workflows.

Qualifications:

Required:

  • High School graduate of equivalent required
  • Excellent communication and computer skills

Preferred:

  • Some college
  • Medical Terminology

Scheduling Requirements:

  • Shift- Day
  • Monday -Friday with every other weekend and holiday
  • Full Time

Essential Functions:

  • Manage calendars, schedule appointments, and coordinate meetings for the Nursing Directors. Take meeting minutes and track action items
  • Act as the central point of contact for the administrative office. Screen and prioritize phone calls, and relay important messages to the appropriate care or administrative teams
  • Update and maintain personnel files, and confidential patient data. Ensure compliance with regulatory and hospital standards, including reporting to the Nursing Office (DOH requirement), and posting in the ED Waiting Room (DOH requirement), the of staffing and patient levels
  • Oversee departmental inventory, order office supplies and medical materials, and process vendor invoices or payment assists with ordering supplies for the department
  • Assists with the accurate completion of employee payroll
  • Assists with training new Emergency Department Unit Secretaries and assist with the oversight of the Unit Secretary schedules
