About This Role

At Creative Learning Preschool (CLP), we believe strong staffing support is essential to creating a positive environment for children, families, and teachers. This position plays an important role in helping classrooms stay staffed and supporting our teaching team.


You’ll have the opportunity to build relationships with children, families, and teachers while gaining experience in scheduling, staffing coordination, and early childhood administration.


This position is a great fit for someone who enjoys problem-solving and working with a team. The Staffing Coordinator will be responsible for coordinating substitute coverage, maintaining staffing schedules and records, and supporting administration with staffing needs throughout the year.

CLP is a play-based nonprofit preschool located just off Capitol Square in the heart of Madison. CLP is committed to providing a nurturing environment that supports the emotional, social, physical, and cognitive development of all children. What You'll Do
  • Coordinate substitute coverage for planned and unplanned staff absences.
  • Respond to early morning and occasional after-hours call-ins and arrange coverage as needed.
  • Create weekly substitute schedules and make updates when unexpected absences occur.
  • Maintain accurate time-off request logs, staffing calendars, and substitute availability.
  • Communicate staffing changes clearly and positively with teachers, substitutes, and administration.
  • Survey college student staff each semester to identify changes in availability.
  • Assist administration with developing semester staffing patterns.
  • Assist with annual reviews of substitute staff.
  • Serve as a substitute teacher when additional support or coverage is needed.
  • Assist with administrative projects and tasks when scheduling responsibilities allow.
  • Help identify staffing needs and communicate concerns or recurring scheduling challenges to administration.

Schedule:

  • This is a full-time hybrid position with flexibility in scheduling. CLP is open 7:30 a.m. - 5:30 p.m., with flexibility regarding in-person hours.
  • Up to 15 hours per week may be worked remotely from home.
  • Additional hours are worked onsite at Creative Learning Preschool and may include classroom coverage and administrative support.
  • Some early morning and after-hours on-call responsibilities are required to respond to unexpected staff absences.

Requirements
  • Passion for early childhood education and a strong desire to make a difference every day.
  • Excellent administrative, organizational, verbal, listening, and written communication skills.
  • Ability to collectively and compassionately solve problems as they arise.
  • Takes initiative and anticipates the needs of the center as a whole.
  • Flexibility and comfort to work with any age group, from infants through four-year-old kindergarten.
  • Strong work ethic with excellent attendance and punctuality.
  • Meet physical requirements of the job including; lifting up to 50 lbs, bending, sitting on the floor, and walking long distances.
  • Comfortable using email, calendars, spreadsheets, and other basic office technology.
  • Be at least 21 years of age.
  • Have completed high school or its equivalent, as determined by the Wisconsin department of public instruction.
  • Meet the Wisconsin Department of Children and Families group child care teacher qualifications or willingness to complete required training.
  • Registry certificate or willingness to become a member.
  • Pediatric CPR and First Aid Certification within 90 days of hire.
  • Willingness to complete licensing required pre-service certifications.

  • Degree or credential in early childhood education or a related field.
