The Administrative Assistant provides administrative and operational support to ensure the efficient day-to-day functioning of the office. This position serves as the first point of contact for visitors and callers, supports multiple departments, maintains office organization, and assists with reporting, records management, and various administrative projects. The Administrative Assistant plays a key role in supporting daily business operations and ensuring administrative processes are completed accurately and efficiently.
Essential Duties and Responsibilities
Office Administration
Answer and manage all incoming calls to the main office, take messages, and transfer calls appropriately.
Receive and distribute incoming mail, packages, and deliveries.
Maintain paper and electronic filing systems, including personnel and administrative records.
Create employee identification badges.
Assist with new hire paperwork and administrative onboarding processes.
Monitor and maintain office supplies, including front office inventory, supply closet stock, and marketing materials.
Manage kitchen inventory, including snacks, beverages, and related supplies.
Coordinate lunches on Tuesdays, Wednesdays, and Thursdays and assist with lunch preparation for internal meetings.
Recycle toner cartridges and coordinate returns through UPS as needed.
Maintain Safety Data Sheet (SDS) books and related documentation.
Reset employee passwords in UKG and provide basic administrative support as needed.
