Job description

About the Position
We're seeking a Document Control Lead to support a large-scale aviation redevelopment program delivered within a complex public-sector infrastructure environment. This role focuses on maintaining accurate, timely, and compliant project documentation while also supporting the development, implementation, and standardization of program-level document control procedures, protocols, governance materials, etc.
This is a long-term, full-time, hybrid position (4 days per week onsite subject to change based on project requirements) location in Queens, NY.
Responsibilities may include, but are not limited to, the following:
  • Support implementation and maintenance of program-wide document control protocols and standards.
  • Maintain accurate document naming conventions, metadata tagging, version control, and coding structures in alignment with project and program requirements.
  • Coordinate intake, processing, tracking, distribution, and archival of controlled documents including RFIs, submittals, drawings, specifications, meeting minutes, correspondence, and other project records.
  • Track deliverables and support coordination of document reviews between internal teams, consultants, contractors, and external stakeholders.
  • Prepare and maintain document control reports, logs, transmittals, and tracking dashboards.
  • Perform quality checks on document submissions to ensure compliance with established standards and procedures.
  • Support document retrieval activities for audits, executive reporting, project closeout, and stakeholder requests.
  • Provide user assistance and troubleshooting support within enterprise document management systems such as SharePoint and other EDMS platforms.
  • Support development and maintenance of document control governance materials including procedures, protocols, management plans, and Work Instruction Documents.
  • Assist with standardization and continuous improvement of document control workflows across projects and teams.
  • Support alignment of document control practices with program requirements, contractual obligations, and project closeout expectations.

Minimum Qualifications
  • Bachelor's degree in engineering, construction management, business administration, project management, or related field, or equivalent combination of education and experience.
  • 5+ years of document control, or similar heavy civil infrastructure project role, experience on large, complex, heavy civil infrastructure projects.
  • Experience managing document versioning, metadata tagging, naming conventions, and controlled document workflows.
  • Experience supporting document control processes for RFIs, submittals, drawings, specifications, meeting minutes, and project correspondence.
  • Demonstrated experience preparing governance documentation such as procedures, protocols, management plans, guidance documents, or Work Instruction Documents.
  • Experience supporting enterprise document management systems such as SharePoint, eBuilder, Aconex, ProjectWise, Procore, Unifier, or similar platforms.
  • Strong Microsoft Office Suite/Office 365 skills (e.g., Outlook, Teams, Word, Excel, PowerPoint, etc.).

Preferred Qualifications
  • Master's degree in engineering, construction management, business administration, or project management.
  • Experience supporting aviation, transportation, transit, or public agency capital improvement programs.
  • Experience supporting multi-project or program-level document control environments.
  • Familiarity with FAA, NEPA, or aviation-related regulatory documentation environments.
  • Proficiency with Microsoft Power BI, Oracle Cloud Analytics, or other dashboard KPI reporting software.

Compensation Details
Expected Salary: $90k-$140k/year ($45-$67/hour). Luster provides the salary range that the company in good faith believes it might offer for this position based on the successful candidate's level of experience, knowledge, skills, abilities, education, certifications, licenses, geographic location, etc. Luster reserves the right to ultimately pay more or less than the posted range depending on circumstances not related to any status protected by local, state, and/or federal law.
