Job description

Job Description The Project Coordinator will be responsible for providing administrative and project support working closely with Engineering Integrated Product Teams (IPT), including engineers, program managers, and customers for the technical execution of engineering deliverables. This position is responsible for providing general administrative and project support by assisting in the day-to-day general operations of the IPTs and scheduling project tasks. Duties include managing corporate travel bookings and expense reporting, client meeting support, monitoring overhead budgets, identifying potential budget shortfalls and overruns, compiling and evaluating data; preparing financial reports. This position will work closely with assigned project team members, program managers, department managers and directors to support the team and the customer Key Responsibilities: Others may be added * General administrative support for the Indiana Site. * Travel program ownership. * Monitor overhead budgets for early signs of budget shortfalls and overruns. * Take clear, concise notes during meetings and communicate action items. * Monitor project execution and work with team to schedule resources. * Work with project managers to raise awareness of developing financial problems. Report routinely to IPT and Program leadership regarding those problems. * Organize and maintain corporate documentation, correspondence, confidential employee files and training records, customer file, supply inventories, and Site paperwork. * Serve as the Subject Matter Expert (SME) for corporate policies and procedures, MS Office tools, marketing initiatives, procurement, IT support, and office flow, functionality, and health of the department. * Responsible for the organization of meetings, agendas, report generation, routine correspondence, department presentations, tracking of various matrices/ projects, marketing outreach initiatives, and divisional new hire orientation. * Create, format, prepare, and maintain reports, papers, graphics, and presentations required by Division and Project Managers in a timely manner. * Ensure continuation of communication in the absence of leadership to team and interpret requests and implementation efforts in an efficient and timely manner. * Perform other administrative support duties as may be required by Division leadership and other department managers. * Development of a deliverable tracking system and execution of tasks for project deliverables. * Perform editorial review of project and other documents to improve quality of submittals. * Contact and work with clients, project partners, and subcontractors as needed by project directors to support the management of projects. * Generate and update lifecycle sustainment plan * Organize and maintain technical data packages Position Specific * Accountable for project tracking, updating and maintaining project documentation on deliverables. * Enter data into spreadsheets, using various software programs and performs financial and statistical calculations. * Prepare project and budget reports by drafting sections of reports, tabulating data, and incorporating tables and sections from other authors. * Demonstrate excellent communication skills (written, oral & interpersonal). * Demonstrate strong organizational and computer skills. * Demonstrate excellent attention to detail. * Demonstrate excellent time management skills with the ability to troubleshoot and problem solve. * Ability to anticipate problems and proactively resolve potential blockers. * Ability to follow through on assignments in a timely manner. * Strong interpersonal skills, planning ability, problem solving, and ability to multi-task. Experience and Skills Minimum Qualifications * US Citizenship and the ability to obtain and maintain a US secret clearance. * 5-7 years of related experience. * Knowledge and ability to use the fundamental concepts, practices, and procedures of the particular field of specialization. * Effective verbal and written communication skills. * Detail oriented; possess excellent planning and organizational skills; inquisitive. * Excellent interpersonal and verbal/written communication skills. * Must be capable of working with individuals at all levels within and outside of the organization. * Demonstrated ability to utilize a variety of computer programs including MS Office Suite, Access, or other database tools.
