Office Services Assistant

Provide comprehensive coordination and administrative support across office operations, project teams, workforce onboarding, and safety functions. This role is a central point of contact for jobsite operations—ensuring efficient daily execution, a positive employee experience, and compliance with onboarding and safety requirements. The position requires strong organization, responsiveness, and the ability to manage multiple priorities in a fast-paced, early-start environment.

Qualifications

Required

  • High school diploma or GED
  • 1–3 years of administrative or office support experience

Preferred

  • 2+ years of administrative experience
  • Construction or jobsite experience
  • Bilingual (Spanish/English)
  • Associate's or Bachelor's Degree

Core Responsibilities

Office & Operational Support

  • Manage daily office operations including stocking kitchen areas, monitoring inventory, and coordinating supply purchases (office, food, and cleaning)
  • Coordinate mail, shipments, deliveries, and general office logistics
  • Maintain internal contact lists, schedules, job codes, and distribution groups
  • Reconcile purchasing card transactions and maintain accurate records
  • Support leadership and visitors with logistics, reservations, and general coordination
  • Perform errands and miscellaneous operational support as needed
  • May be responsible for performing company database or system administration tasks, and data input.

Onboarding & Employee Experience

  • Coordinate onboarding logistics, prepare workspaces, and welcome new employees
  • Conduct daily new hire orientations (including large groups) and additional sessions for alternate shifts
  • Ensure completion of required training, documentation, and system entry (Procore, HammerTech)
  • Issue badges, parking permits, and provide access support; troubleshoot badge issues as needed
  • Coordinate employee logistics including travel, housing, IT equipment, and onboarding materials

Safety & Workforce Compliance

  • Provide Spanish translation support for safety meetings and jobsite communication
  • Lead safety orientations for Spanish-speaking employees, including LOTO and commissioning
  • Distribute PPE and manage related inventory and ordering
  • Provide training and support safety systems and processes, including entering data in HammerTech and managing Eyrus access
  • Assist with safety communications, alerts, and incident support (including camera review)
  • Track training (e.g., UTV certification) and maintain compliance records
  • Print and issue employee badges
  • Distribute PPE

Project & Field Support

  • Provide administrative support to project teams including document coordination and communication
  • Maintain project documentation and assist with document control systems
  • Coordinate with field leadership on jobsite needs, supplies, and resources

Back-Up Project Management Support

  • Process, organize, copy and file project management related forms and documents, including, but not limited to Bidding Process, Preconstruction support to estimating team & project team, Processing of Submittals, RFI's, Project Schedule Updates.
  • Project team correspondence and communications
  • Keep current set of plans updated

Events & Engagement

  • Coordinate jobsite meetings, meals, and events including safety week, team-building activities, and employee appreciation efforts
  • Manage catering, food orders, and event logistics
  • Support wellness initiatives and employee engagement activities

Additional Responsibilities

  • Participate as an active member of the McGough Team. Contribute to shared goals and collaborate with colleagues on achievement of priorities.

Physical Requirements

Position involves sitting for extended periods of time at employee's workstation and during meetings as well as while traveling, either by plane or car. Employee needs to be able to lift to 20 pounds as frequently as needed to move objects; dexterity to write and manipulate computer keyboard and mouse; ability to hear and speak clearly; and ability to distinguish between colors on graphs and charts.

Employee will be required to visit construction jobsites which may expose the employee to dirt, dust, uneven surfaces, outdoor weather conditions and extreme temperatures.
