Intern - Vendor Master Data Review & Documentation Support

The intern will support the Finance and Accounts Payable teams in reviewing, validating, and improving the quality of vendor master data within the company's ERP system. The role will focus on ensuring that vendor records are accurate, complete, and supported by the required documentation.

Key Responsibilities

  • Review existing vendor master records to verify the accuracy and completeness of supplier information.
  • Validate vendor details such as legal name, address, tax information, and banking data.
  • Verify that all required supporting documentation is attached and available in the system, including:
    • Bank letters or bank account verification documents.
    • W-9 forms and other tax-related documentation, when applicable.
  • Identify missing, outdated, or inconsistent information and maintain tracking logs of findings.
  • Contact vendors via email to request missing documentation or updated information.
  • Follow up with vendors to ensure timely receipt of requested documents.
  • Organize and maintain documentation records in accordance with internal procedures.
  • Support the resolution of data quality issues by collaborating with Vendor Master Data and Accounts Payable team.
  • Prepare status reports and provide regular updates on progress, outstanding items, and completed reviews.

Purpose of the Role

The main objective of the position is to perform a comprehensive review of vendor master data and supporting documentation, ensuring that vendor records are accurate, complete, and compliant with company requirements, while helping to reduce risks associated with incorrect vendor information and missing documentation

Requirements:

  • Current student or recent graduate in Finance, Business Administration, Accounting, or a related field
  • Strong interpersonal and communication skills
  • High attention to detail and strong organizational skills
  • Ability to handle confidential information professionally
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
