Job description

Duties Description Job Description: The SUNY Old Westbury Collegiate Science & Technology Entry Program (CSTEP) is dedicated to increasing the number of students from economically disadvantaged backgrounds who wish to pursue careers in STEM, health-related fields, and New York State licensed professions. Through academic support, professional development, and enrichment opportunities, CSTEP promotes student success from enrollment through graduation. The CSTEP Project Staff Assistant serves as the primary point of contact for prospective and current students, providing information about program services, policies, and events.

This position supports student recruitment, enrollment, retention, and engagement while ensuring participants receive accurate and timely assistance. Working closely with the CSTEP Co-Directors, the Project Staff Assistant provides administrative, organizational, and event planning support. The successful candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Strong interpersonal, written, and verbal communication skills are essential, along with the ability to interact professionally with students, faculty, staff, and external partners. Duties and Responsibilities: Provide administrative and programmatic assistance to Co-directors in day-to-day management of CSTEP activities. Assist with student recruitment, application review, enrollment, and retention efforts for incoming freshmen, transfer, and continuing students.

Serve as a welcoming resource for prospective and current students by providing information, guidance, and support while helping them connect with CSTEP programs, services, and opportunities. Maintain accurate student records and electronic databases; monitor student participation, academic progress, and professional outcomes. Compile data for required reports and program assessments.

Assist in the planning, coordination, implementation, and evaluation of workshops, seminars, conferences, enrichment activities, and professional development events. Develop and maintain database/resources related to internships, research opportunities, scholarships, and career development for program participants. Assist with the supervision and coordination of student employees, including research aides, tutors, and peer mentors.

Provide assistance with the organization of conferences, field trips, campus visits, and other program-related events. Manage the program's social media presence by developing and implementing content strategies, creating engaging content, maintaining online communications, and monitoring and assessing audience engagement and overall impact. Monitor program email account, and assist with program correspondence, promotional materials, and other program-related communications.

Perform other administrative, programmatic, and operational duties as assigned to support the mission and goals of CSTEP. Minimum Qualifications Minimum Qualifications: Bachelor's degree in an appropriate field and two years of related experience. Experience and demonstrated success working effectively with students from diverse socioeconomic and educational backgrounds.

Excellent written and oral communication skills, with strong organizational, interpersonal, and coordination abilities to effectively collaborate with campus departments, faculty, staff, students, and external partners. Proficiency with Microsoft Office Suite and other technology platforms used for administrative, communication, and data management functions. Experience with student recruitment, program coordination, and data management.

Salary Range: $51,000 - $54,000 plus excellent benefits compensation package to include health, dental, vision, 403B, employer contribution for retirement; paid time off for sick, vacation, holidays and more. Hours: Monday-Friday, 9:00 a.m.-5:00 p.m. (37.5 hours per week)

Work hours may occasionally vary based on program needs. This position may require occasional travel, including day trips and overnight conferences or professional events.
