Job description

Title: Advancement Data Specialist

Department: Advancement Operations

Reports to: Director, Data Management & Reporting

Location: Kingston, RI (Hybrid)

Employment Status: Full Time, Exempt

 

Position Summary

The Advancement Data Specialist is responsible for the accurate, timely, and consistent maintenance of constituent data within the University of Rhode Island Foundation’s CRM system. Reporting to the Director, Data Management & Reporting, this role supports the integrity of advancement data by processing updates, maintaining data standards, supporting reporting needs, and assisting with data-related initiatives that advance fundraising and engagement efforts across the organization.


Key Responsibilities

  • Maintain and update constituent records in the URI Foundation CRM in accordance with established data standards and industry best practices.
  • Process and verify constituent information updates, including contact information, employment data, obituaries, affiliations, and other priority data elements from a variety of internal and external sources.
  • Support distributed data entry and validation efforts by collaborating with colleagues to ensure consistency, accuracy, and adherence to established standards.
  • Assist with data management activities related to imports, integrations, screenings, appends, and other data enhancement initiatives.
  • Generate reports and provide data support to meet departmental and organizational needs; may respond to requests from senior leadership.
  • Assist in the maintenance and preparation of mailing and email distribution lists.
  • Complete Data Management support tickets and other assignments as directed by the Director, Data Management & Reporting.
  • Identify opportunities for process improvements and contribute recommendations that enhance data quality and operational efficiency.

Required Education and Experience

  • Bachelor’s degree required.
  • Minimum of three to five years of relevant professional experience required.
  • Proficiency with Microsoft Office applications, particularly Excel and Word, required.
  • Strong written and verbal communication skills, with the ability to communicate information clearly, concisely, and professionally.
  • Demonstrated ability to manage multiple priorities, work independently, and collaborate effectively within a team environment.
  • Excellent organizational skills, attention to detail, accuracy, and problem-solving ability.
  • Sound judgment, discretion, and a high degree of professionalism when managing confidential and sensitive information.
  • Ability to take initiative, adapt to changing priorities, and perform responsibilities with minimal supervision.

Preferred Education and Experience

  • Experience with Salesforce, Affinaquest Advancement RM, or other CRM/database systems preferred.
  • Familiarity with data enrichment and research tools such as Lexis, LiveAlumni, Obituary Registry, Initium, Apsona, and GiveCampus is preferred.


Salary: $50,000 to $55,000 based on experience.
