Job description

This is a Middlebury student Level C position paying $15.40 per hour.

The student who fills this position will assist with administrative program support and logistics for the Office of Alumni Engagement Programs. The position will  be expected to staff the annual Alumni College event at the end of the summer, Wednesday, August 26-Saturday, August 29. 

Additional tasks include assisting supervisors and other team members in managing a variety of projects including data entry, record keeping, answering phone calls, and monitoring the alumni email inbox. The Assistant may also conduct research to support creative planning for future events. 
Assist Program Support Manager (PSM) with organizing and maintaining event supplies and electronic files, including updating procedures so other student staff and Alumni Engagement staff members can efficiently complete tasks. 

Collaborate with multiple members of the Alumni Engagement team and be able to take direction from them on various projects as assigned, be proactive about ensuring full understanding of assigned projects, and report back on results in a timely fashion. 

During this work, the Assistant will interact with a broad range of constituents including parents, alumni, College officials, and confidential files. 

Expect weekly check-ins with Program Support Manager and/or Director for direction and updates. 

This is a part-time summer position averaging 20 hours per week, with the opportunity for increased hours later in the summer-particularly during the weeks leading up to and including the Alumni College event.

Responsibilities include, but are not limited to:  

Assisting with planning and managing events  

Assisting with data entry in Blackbaud  

Organizing and keeping files up to date  

Monitoring multiple email inboxes  

Corresponding with alumni via phone and email  

Creating correspondence and executing mailings using mail merges  

Participate in occasional office and departmental meetings  

Some evening and weekend work required  

Knowledge: 

Proficient with MS Office applications, especially Outlook, Word, Excel, and Teams. 

Experience with CRM software helpful, but not required. 

Experience with G Suite applications including Drive, Docs, Sheets, Slides, and Forms. 

Familiarity with video conferencing software, such as Zoom. 

Ability to treat sensitive information with discretion. 

Excellent organizational, written, and verbal communication skills.

Excellent interpersonal skills; friendly and customer service drive.

Creative and resourceful. 

Strong leadership skills and a desire to take initiative preferred. 

Experience in a customer service or professional office setting is a plus. 

Solid professional written and verbal communication skills required to effectively interact internally with staff, and with external constituents. 

Must demonstrate a strong commitment and a high level of reliability. 

Must be well organized, detail oriented, articulate, and able to multi-task. 

Able to work independently and make thoughtful decisions, both in person and telecommute capacity. 

Broad based knowledge of campus and its departments in order to answer and direct inquiries. 

Flexible schedule preferred. Number of hours per week is not a guarantee. 

On Campus Events require in-person participation, proof of vaccine and following College COVID-19 protocols. 

College driver's license helpful but not required.

Offer is contingent upon successful completion of a criminal background

check. Offer is also contingent on the completion of the PCI DSS

training and the signing of the PCI Security Awareness and

Confidentiality Agreement for campus personnel with access to credit
