Mental Health Administrative Support Specialist

Trusted Results Therapy Group is seeking a friendly, professional, and highly organized Part-Time/PRN Mental Health Administrative Support Specialist to join our team. The ideal candidate will be the first point of contact for clients and visitors and play an integral role in ensuring the smooth operation of our mental health practice.

This is a part-time position with a guaranteed shift every week (rotating Saturdays), plus the ability to pick up additional PRN shifts as needed. Coverage shifts may fall anywhere within our 8:00 AM to 8:00 PM operating window, and candidates must be available to work shifts across this full range.

This position is based at our Columbia office. Travel to other company locations is not expected and would only occur on a rare, voluntary basis. Front desk team members play an important role in supporting staff continuity, maintaining operational excellence, and ensuring a positive client and employee experience.

Responsibilities
  • Greet clients and visitors in a warm and professional manner.
  • Answer phone calls, take messages, and direct inquiries to the appropriate staff member.
  • Schedule and confirm appointments for clients.
  • Maintain a clean and welcoming reception area.
  • Manage client intake forms and ensure all documentation is completed accurately.
  • Process new client registrations and ensure proper data entry into the Electronic Health Record (EHR) system.
  • Handle client payments, insurance verification, and co-payments.
  • Assist in managing the flow of clients and visitors to ensure minimal wait times.
  • Communicate effectively with clinical staff to ensure timely client services.
  • Ensure confidentiality and comply with HIPAA regulations in all interactions.
  • Perform other administrative duties as needed to support the operation of the agency.
Qualifications
  • High school diploma or equivalent; college degree preferred.
  • Previous experience in a receptionist or customer service role, preferably in a healthcare or mental health setting.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks simultaneously and work in a fast-paced environment.
  • Familiarity with Electronic Health Records (EHR) systems is preferred.
