We are partnering with the Rhode Island's Department of Health to find a detail-oriented Records Specialist to support the management and maintenance of statewide vital records, including accurate data entry, database updates, record issuance, customer assistance, and confidential records management.

The ideal candidate will possess strong organizational, data entry, customer service, and administrative skills, with the ability to manage multiple priorities, maintain accuracy and confidentiality, communicate professionally with the public and municipalities, and work independently in a detail-oriented environment.

Pay & Job Highlights:
Pay Rate: $27.38 per hour
Location: Cranston, RI

Responsibilities of the Records Specialist:
  • Accurately enter statistical and vital event information into the State’s database while maintaining and correcting records.
  • Provide guidance and administrative support to Rhode Island cities and towns, as well as members of the public, regarding vital records and related processes.
  • Assist customers with in-person requests and provide professional, courteous support when responding to questions and requests.
  • Issue vital records in response to in-person, mail, and online requests while following established procedures.
  • Perform a variety of clerical and administrative duties, including typing, filing, recordkeeping, phone coverage, data entry, and maintaining organized records.
  • Review and process records and transactions with a high level of accuracy and confidentiality.

Qualifications of the Records Specialist:
  • High school diploma or equivalent required, with experience in a clerical, administrative, records management, data entry, or related position involving independent judgment in processing transactions.
  • Proficiency with Microsoft Office applications, including Microsoft Word, Excel, and Outlook, with the ability to learn and navigate database systems.
  • Strong organizational and time management skills with the ability to manage multiple tasks, maintain accurate records, and meet established deadlines.
  • Excellent verbal and written communication skills, with the ability to interact professionally and courteously.
