JOB DESCRIPTION

DATA QUALITY SECRETARY
Department: Multiple
Pay Grade: U108
FLSA Status: Non-Exempt
GENERAL PURPOSE
This position performs skilled clerical and technical duties involving the operation of computer terminals and various other types of computer equipment in an office environment; assists in updating student data.
ESSENTIAL JOB FUNCTIONS
  • Operates microcomputers, printers (all types), and related equipment.
  • Codes, enters, logs, records, and files data; maintains related records and files.
  • Enters and manages data regarding the enrollment and withdrawal of students, special education students, transportation, building inventory, summer school, remediation programs, student demographics, and academic history.
  • Enters and manages data regarding student absences and truancy and produces reports as requested.
  • Enters and manages data regarding student discipline and produces reports as requested.
  • Manages all testing data and produces reports as requested.
  • Audits input data for accuracy and produces reports for review on a regular basis.
  • Provides assistance to school personnel on the use of Star Base.
  • Prepares and distributes a variety of reports and forms.
  • Updates and maintains the School Board Policy Manual.
  • Attends training sessions to remain current on system usage, or as requested.
  • Maintains confidential information.
  • Performs other related duties as required/assigned.

MINIMUM QUALIFICATIONS
  • High school diploma or its equivalent.
  • One year of data entry experience.

KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of Microsoft and Google Suite.
  • Knowledge of student database management systems.
  • Knowledge of computer operations, keyboarding, data entry, standard office practices, procedures, equipment, and secretarial techniques.
  • Knowledge of business English, spelling, and arithmetic.
  • Knowledge of Chesapeake Public School policies, regulations, and procedures.
  • Skill in typing accurately and at a reasonable rate of speed.
  • Skill in making arithmetical calculations.
  • Skill in the operation of a variety of computer and office equipment.
  • Skill in organizing and managing multiple tasks.
  • Ability to establish and maintain effective working relationships with school division staff, teachers, students, vendors, and the general public.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS
  • Work environment is primarily inside, where the noise and temperature levels are moderate; the worker is not subject to adverse environmental conditions.
  • This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.
  • Work requires stooping, kneeling, crouching, reaching, pulling, lifting, fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word, and conveying detailed or important instructions to others accurately and quickly; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, operation of machines, and determining the accuracy and thoroughness of work.
