The mission of the Attendance and Data Management Secretary serves as a vital part of the school community by ensuring accurate and timely recording of student attendance and maintaining essential data systems. This role supports a positive learning environment by promoting accountability, fostering strong communication between families and school staff, and providing reliable information that helps staff make informed decisions.

Qualifications: Must hold a high school diploma or equivalent.

Other Qualifications:

  • Ability to maintain confidentiality and comply with Family Educational Rights and Privacy Act (FERPA) regulations.
  • Effective communication and teamwork skills with all stakeholders.
  • Excellent attention to detail and accuracy.
  • Ongoing work and collaboration with the Student Support Services central office team is required.
  • Perform essential functions involved in maintaining records of student attendance as well as maintaining student cumulative files.
  • Prior experience in data entry or school office operations preferred.
  • Proficiency in data entry

Physical Demands:

This person must be physically active and interactive throughout the day; have excellent memory; be emotionally mature and able to handle stress; possess the intellectual, sensory, and motor skills necessary for efficient office management, be flexible and the ability to work in an open, potentially distracting environment. Must have sufficient physical strength and ability to independently and repeatedly lift, move and carry objects weighing 50 pounds (i.e., be able to stand for extended periods of time, stoop, bend, do light lifting, push, pull, step and have good finger dexterity, etc.).

Primary Duties:

The Attendance and Data Management Secretary is responsible for ensuring the accuracy, confidentiality, and integrity of student information within the school's data systems. This role involves managing daily attendance, processing enrollment and withdrawal information, updating student classifications, maintaining cumulative records, and ensuring compliance with district and state reporting requirements. The Attendance and Data Management Secretary will collaborate with teachers, administrators, and central office personnel to monitor attendance compliance, correct data errors, and prepare required reports.

Essential Duties and Responsibilities

  • Monitor and assist teachers in submitting daily attendance via the student information system and teacher portal.
  • Perform data entry for student records, including registration, transfers, withdrawals, attendance notes, tardies, classifications, lunch status, bus information, and discipline records.
  • Identify and correct errors in Tennessee Education Data System (TEDS), utilizing the Statewide Operations Reporting Dashboard (SWORD) platform.
  • Track student attendance for excessive absences according to district guidelines; provide regular updates to the principal and forward documentation to the Truancy Personnel when necessary.
  • Prepare and submit the 20-day attendance report to the principal and Central Office.
  • Collaborate with the transportation department to maintain accurate bus information.
  • Maintain student cumulative files; receive and send student records and verify accuracy, adhering to state specific guidelines
  • Assist in planning and organizing yearly student registration.
  • Ensure confidentiality of student and parent information at all times.
  • Follow directions and comply with school and district policies.

Staff Relationship: Reports directly to the School Principal.

Terms of Employment

  • Full-Time 207 work days. Non-Exempt. Salary and Benefits are set annually.
