MUNICIPAL FINANCE CLERK

REPORTS TO City Clerk

EMPLOYMENT TYPE Full Time

SUMMARY

This role involves managing financial documentation, data entry, reconciling accounts, and providing clerical support to ensure smooth financial operations. The Municipal Finance Clerk will play a crucial role in maintaining accurate records, assisting with reports, and facilitating the overall efficiency of the office's financial processes. Starting salary is Grade 8, Step 1. $55,378.00 Growth potential for this position is Grade 8, Step 10 $71,990.

QUALIFICATIONS and EXPERIENCE

  • Education: 
    • Bachelor’s degree in Accounting required
    • High school diploma or equivalent required
    • Experience:
      • Minimum 1 year of experience in accounting  
      • Experience in Fund Accounting is a plus 
      • Experience with accounting software (e.g., QuickBooks, Xero, Sage) is a plus.
  • Skills:
    • Strong knowledge of basic accounting principles and practices.
    • Proficiency in Microsoft Office Suite (especially Excel and Word).
    • Attention to detail with excellent organizational and time management skills.
    • Ability to work independently and as part of a team.
    • Good verbal and written communication skills.
    • Discretion and confidentiality when handling sensitive financial information.

KEY RESPONSIBILTIES

  1. Data Entry and Record Keeping:
    • Accurately enter financial data into accounting software or spreadsheets.
    • Maintain and update accounting records, ensuring all transactions are properly recorded.
    • File and organize financial documents, invoices, receipts, and other related records in a systematic manner.
    • Maintain accurate and up-to-date ledgers for multiple accounts.
  2. Accounts Payable and Receivable Support:
    • Assist with processing incoming and outgoing payments.
    • Prepare invoices, statements, and payment reminders to clients and vendors.
    • Monitor overdue payments and follow up with clients or vendors as necessary.
  3. Bank Reconciliation:
    • Support the monthly reconciliation of bank statements, credit card statements, and other financial accounts.
    • Investigate discrepancies and ensure all transactions are accurately matched to bank statements.
  4. Financial Reporting Assistance:
    • Prepare basic financial reports (e.g., balance sheets, income statements, cash flow reports).
    • Prepare and verify monthly, quarterly, and year-end reports for management review.
    • Gather data for audits or tax preparation.
  5. Administrative Support:
    • Handle routine office tasks such as filing, photocopying, scanning, and mailing financial documents.
    • Maintain office supplies and ensure the financial department has the necessary resources.
    • Provide clerical support to City Clerk.
    • Answer phone calls and emails related to financial inquiries.
  6. Compliance and Filing:
    • Ensure that all financial documentation adheres to company policies and regulatory requirements.
    • Assist in the organization and storage of financial files for compliance and audit purposes.
    • Follow best practices for document retention and security.
