Client Care Coordinator

Kidzoola Therapy Center is seeking a full-time Client Care Coordinator to join our team.

We are a therapist-owned pediatric therapy clinic in Missoula, Montana, providing speech and occupational therapy services in a fun, welcoming environment. Our clinic is filled with natural light and a welcoming atmosphere where people genuinely enjoy helping children and families.

We're looking for someone who enjoys helping people, pays close attention to details, and takes pride in keeping things organized. The Client Care Coordinator helps shape each family's experience at Kidzoola, from the first phone call through every therapy visit. This position combines customer service with administrative responsibilities while helping our clinic run smoothly each day.

About the Position

As the Client Care Coordinator, you'll work closely with our therapists and administrative staff to support the daily operations of the clinic. This position is ideal for someone who enjoys building relationships, staying organized, solving problems, and creating a positive experience for others.

ResponsibilitiesClient Experience
  • Welcome children and families to the clinic
  • Check clients in and out
  • Answer phones, texts, and general client inquiries
  • Help create a warm, organized, and welcoming clinic environment
  • Assist families with scheduling questions and basic billing questions
  • Collect payments
Scheduling & Coordination
  • Schedule therapy appointments and evaluations
  • Manage same-day schedule changes and cancellations
  • Coordinate communication with families regarding appointments
  • Work closely with therapists to support daily clinic flow
  • Help ensure new evaluation families have completed required paperwork
Administrative Support
  • Scan, upload, and organize electronic records
  • Data entry and document management
  • Assist with office organization and supply management
  • Assist with special projects and process improvements as needed
  • Collaborate with our billing and administrative staff to keep operations running smoothly

Schedule

Approximately 40 hours per week

Monday-Thursday: 9:30 AM-6:00 PM
Friday: 9:00 AM-3:30 PM

No weekends.
