Carlile Transportation is seeking a detail-oriented, dependable, and customer-focused Receiving Associate to join our Tacoma team. This role plays a vital part in supporting freight operations by receiving, processing, auditing, and documenting inbound shipments to ensure freight moves accurately and efficiently throughout our transportation network.

About the Role

As a Receiving Associate, you will review and process inbound freight documentation, verify shipment information, enter freight data into TMW Transportation Management System (TMS), and provide operational support to ensure shipments are routed, tracked, and billed accurately.

What You'll DoFreight Receiving & Documentation
  • Review and process incoming freight paperwork and shipping documentation.
  • Verify consignee information, billing requirements, freight descriptions, PO numbers, piece counts, weights, and dimensions.
  • Review hazardous materials (HazMat) documentation for completeness and accuracy.
  • Ensure all receiving documentation is complete and properly signed.
  • Identify, research, and resolve shipment discrepancies.
Transportation Systems & Data Entry
  • Accurately enter shipment information into TMW Transportation Management System.
  • Maintain detailed freight and shipment records.
  • Perform high-volume data entry while maintaining exceptional accuracy.
  • Conduct quality reviews and make necessary corrections before billing.
Customer Service & Communication
  • Communicate professionally with customers, drivers, operations personnel, and internal departments.
  • Schedule receiving appointments via phone and email.
  • Resolve freight exceptions, missing freight, documentation issues, and shipment discrepancies.
  • Deliver exceptional customer service in a fast-paced logistics environment.
Warehouse & Logistics Support
  • Assist with freight processing and shipment tracking.
  • Scan and image freight documentation using company systems.
  • Support operational workflows and freight movement activities.
  • Verify shipment weights, dimensions, and freight information.
Equipment Operation
  • Operate handheld scanners and warehouse technology systems.
  • Safely operate forklifts and material-handling equipment as needed.
  • Consolidate freight onto pallets when required.
  • Assist with dock and warehouse activities supporting daily operations.
Safety & Teamwork
  • Follow all Health, Safety, Security, and Environmental (HSSE) policies and procedures.
  • Maintain a safe, organized, and productive work environment.
  • Collaborate with cross-functional teams to improve operational efficiency and service quality.
  • Support department goals and additional assignments as needed.

Qualifications
  • High School Diploma or GED required.
  • 1-2 years of experience in shipping and receiving, warehouse operations, transportation, logistics, freight operations, administrative support, data entry, customer service, or a related field.
  • Experience in the transportation, trucking, logistics, freight, warehouse, distribution, or supply chain industry preferred.
  • Familiarity with Transportation Management Systems (TMS), Warehouse Management Systems (WMS), TMW, or similar logistics software.
  • Experience processing Bills of Lading (BOLs), freight documentation, shipment records, and HazMat paperwork preferred.
  • Experience using handheld scanners, warehouse technology, inventory management systems, and freight tracking software is a plus.
  • Forklift experience and experience working in a dock, terminal, warehouse, or distribution center environment preferred.
  • Strong attention to detail with the ability to maintain accuracy in a high-volume, fast-paced environment.
  • Excellent organizational, multitasking, problem-solving, and time-management skills.
  • Strong verbal and written communication skills with a commitment to providing exceptional customer service.
  • Ability to work both independently and collaboratively within a team environment.
