Description

The Housing Services Program Assistant serves as a first point of contact for clients, responsible for triaging inquiries, scheduling appointments, and clearly explaining program policies and procedures. The position provides information and appropriate referrals, supports accurate data entry and reporting, and completes a variety of administrative tasks to ensure efficient program operations. This role requires regular interaction with the public and a strong commitment to delivering professional, responsive, and client-centered service. 

Requirements

Essential Duties and Responsibilities:

1. Serve as the first point of contact for all Housing Department programs. 

2. Triage calls, emails and walk-in inquiries.

3. Schedule client appointments, intakes and program services; assisting clients & gathering information.

4. Maintain organized electronic and/or paper filing systems.

5. Collaborate with program staff.

6.Provide high-quality customer service with professionalism, confidentiality, empathy, and cultural sensitivity.

Physical Requirements:

Regular required to sit and speak or listen, stand, walk, reach with hands and arms, stoop, kneel or couch. Must have clarity of vision of twenty inches or less for computer use. Ability to lift and carry 25 pounds. 


Qualifications:

Two years' clerical/office experience including accurate keyboarding and math skills.

Strong typing and computer skills with the ability to create documents and reports using office applications.

Strong interpersonal, organizational, telephone, written and verbal communication skills.

Ability to multi-task in a fast paced environment and adhere to deadlines.  

Familiar with KVCAP programs and knowledge of community resources helpful. 

Ability to write legibly and spell accurately. 

Possess a valid driver's license and have use of a vehicle insured to State of Maine requirements to travel within all of KVCAP's service areas. 

Ability to pass State Bureau of Investigation, Department of Motor Vehicle, Department of Health and Human Services, Sex Offender Registry and Fraud background checks.  


Education Requirements: 

High School Diploma or equivalent.
