Quinnipiac University's Office of Development and Alumni Affairs seeks a detail-oriented professional to support advancement operations by executing daily reporting requests and overseeing routine data maintenance within the donor database. Working in conjunction with the Director of Reporting, Data Integrity and Analytics and the Associate Vice President of Advancement Services, this position ensures the accuracy and integrity of constituent demographic, biographical, and event data.
This position coordinates the collection, import, and export of constituent demographic and biological data to support fundraising, alumni engagement, strategic initiatives, and operational reporting across the division. In addition, the role oversees data associated with the document imaging system for donor records, ensuring information is organized, accessible, and maintained in accordance with institutional standards and best practices.

Responsibilities:
  • Coordinate and manage the collection, review and input of all demographic data related to Development and Alumni Affairs constituents. Work closely with other University departments (Registrars, Admissions, Student Affairs, Athletics and others) to schedule the transfer of pertinent data to the donor database
  • Serve as the first point of contact for all data requests. Fulfill routine data requests through the request portal using query tools to generate reports for end users
  • Leverage third party data to proactively update information related to demographic and biographical data on a regular basis, ensuring the accuracy and completeness of records
  • Coordinate and train work-study students and staff involved in data entry projects. Plan and schedule work to provide maximum accuracy and efficiency of data entry; establish methods to verify the accuracy of data quality; Keep staff current in all matters regarding data recording
  • Produce and maintain a procedures manual on all aspects of demographic data entry the production of standard reports and all other procedures related to the acquisition, processing, distribution and maintenance of Development and Alumni Affairs data
  • Coordinate the storing of all current and archived data documents related to the Development and Alumni Affairs constituents through document imaging (ImageNow/Perceptive Contents)
  • Participate in special projects as needed and perform other duties as assigned

Education Requirements:
  • Bachelor's degree
  • Some experience may substitute for degree

Qualifications:
  • Minimum 1-2 years of relevant work experience required
  • Strong computer proficiency including experience with databases and advanced excel skills.
  • The ability to import export and import data from a spreadsheet into a database. Exposure to reporting and query/export tools
  • Possess strong analytical and problem-solving skills
  • Exceptional communication, organization and high-level attention to detail
  • Requires sound business judgment and discretion in handling confidential information
  • Strong proficiency in Microsoft Excel
  • The ability to communicate data requirements with other departments and provide communication to data changes performed
  • Experience working with donor databases, or CRM systems is preferred.
  • Proven ability to collaborate effectively with individuals from varied backgrounds
