We are seeking organized and dependable Office Administrators to support a federally funded grant program. This position plays a key role in ensuring smooth daily operations, supporting applicant flow, and providing administrative assistance to Case Managers and program staff.
This temporary assignment is expected to last approximately 2–4 months, with the potential for extension. The role is primarily remote for candidates based in the Mobile, Alabama area, with occasional onsite meetings, training, or operational support as needed.
Responsibilities
- Maintain a professional and organized administrative environment for applicant interactions and grant program support.
- Answer, screen, and route incoming phone calls and email communications.
- Coordinate applicant scheduling for intake appointments, document collection, and meetings.
- Assist with document processing, including scanning, copying, filing, and electronic file organization.
- Maintain accurate records and ensure timely updates within program systems and databases.
- Provide administrative support to Case Managers, including applicant coordination and follow-up tasks.
- Perform data entry and assist with tracking program activity and case progression.
- Schedule meetings and support internal team coordination as needed.
- Follow established program procedures and perform additional administrative duties as assigned.
Requirements
- 2+ years of customer service, administrative, or clerical experience.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Ability to meet attendance and scheduling requirements.
- Ability to quickly learn and navigate web-based systems and new software applications.
- Strong written and verbal communication skills with excellent attention to detail.
- Ability to work independently, manage deadlines, and maintain confidentiality.
- Experience with grant-funded programs or public assistance programs preferred.
- Ability to successfully complete background screening.
Compensation
- $20–23 per hour, depending on experience and qualifications.
