Ideal Candidate

We are seeking a highly organized and detail-oriented Fleet Administrator to join our Saskatoon team. This position plays a key role in supporting fleet operations through driver account administration, billing, collections, reporting, and operational support. The ideal candidate enjoys working with data, solving problems, and maintaining accurate records in a fast-paced environment.

Key Responsibilities

Driver Billing & Account Administration

  • Process driver billing, account adjustments, transfers, and refunds
  • Administer company vehicle lease charges, loaner vehicle billing, airport fees, and other fleet-related charges
  • Manage collections and follow up on outstanding driver accounts
  • Prepare, review, and distribute invoices, statements, and account summaries
  • Investigate and resolve billing discrepancies and account inquiries
  • Process and managing transaction fee payment disputes and chargeback investigations
  • Assist with driver financing and payment program administration

Fleet Administration

  • Maintain accurate driver, vehicle, and fleet records within company systems
  • Process new driver account setups and profile updates
  • Assist with onboarding and fleet training for new drivers
  • Maintain vehicle pricing and inventory information
  • Process SGI-related invoicing, documentation, and correspondence
  • Calculate, reconcile, and administer fuel account charges

Reporting & Operational Support

  • Generate reports and perform data entry related to fleet operations
  • Support trip verification and operational audits as required
  • Manage pricing and billing administration for transportation contracts and key customer accounts
  • Process and maintain billing for school transportation services
  • Review transportation activity to ensure accurate charge allocation and billing
  • Assist fleet and operations teams with special projects and process improvements
  • Collaborate with dispatch, operations, and management teams to ensure accurate records and efficient workflows
  • Identify and correct error and/ or issues with tasks or processes

Qualifications

Required

  • Post-secondary education in Business Administration, Accounting, Office Administration, Finance, or a related field, and/or 2-3 years of relevant administrative, billing, collections, or customer service experience
  • Strong data entry and record management skills with a high level of accuracy
  • Experience handling billing, account reconciliation, collections, or account administration
  • Proficiency with Microsoft Office, particularly Excel
  • Excellent organizational, time management, and multitasking abilities
  • Strong verbal and written communication skills
  • Ability to work independently while contributing to a team environment
  • Professional and customer-focused approach when dealing with drivers and internal stakeholders
  • Clean Criminal Record Check
  • Legally entitled to work in Canada

Assets

  • Experience in transportation, logistics, fleet management, or a related industry
  • Experience working with billing systems, payment processing, or collections
  • Familiarity with vehicle leasing, fleet administration, or driver account management
  • Experience using dispatch, transportation, or fleet management software
