The Opportunity:

The City of Red Deer is currently hiring a temporary, full-time Electric Light & Power Administrative Assistant. This position is responsible for responding, directing, and often resolving internal and external customer service requests for the Electric Light and Power Department. They will provide diverse administrative accounting and clerical support at a senior level to staff in a complex, time sensitive work environment while maintaining a functioning business office. The EL&P Administrative Assistant is also responsible for time entry administration and records management.
 

Top Key Responsibilities:

  • Coordinate and manage meter-related service orders, records, and inventory within the Meter Inventory Management (MIM) system, ensuring compliance with regulatory requirements and maintaining accurate data. 

  • Support utility operations by tracking service requests, maintaining departmental databases, coordinating meter installations, and serving as a liaison between contractors, service providers, and internal staff. 

  • Perform accounting and financial administration functions, including purchase orders, invoice processing, accounts receivable billing, payment tracking, reconciliations, and journal entries. 

  • Administer employee time entry, payroll-related records, vacation and flex schedules, and provide guidance on payroll policies, collective agreement provisions, and employee leave balances. 

  • Deliver exceptional customer service by responding to inquiries, coordinating communications with field crews, contractors, suppliers, and customers, and supporting front-counter operations. 

  • Provide administrative support to the department, including preparing correspondence, reports, meeting materials, agendas, minutes, travel arrangements, and maintaining departmental communications. 

  • Monitor and manage departmental email accounts, records, and documentation to ensure timely follow-up and accurate information management. 

  • Maintain records management systems in compliance with corporate policies, legislation, and FOIP requirements, including records retrieval, archiving, and information requests. 

  • Develop and maintain administrative procedures and provide training and support to staff and backup personnel as required. 

  • Support departmental operations through effective coordination, organization, problem-solving, and continuous improvement of administrative processes.

As our preferred candidate, you will have:

Remuneration:

$37.33 to $39.19 per hour.

Hours of Work: 

80 hours biweekly, Monday to Friday. Some evening and weekend work may be required.
