The Data Center Service Coordinator is responsible for coordinating and supporting final-mile transportation services for critical data center construction and infrastructure projects. This position serves as the primary communication link between customers, contractors, drivers, and internal operations teams to ensure shipments are delivered safely, accurately, and on schedule.
In addition to transportation coordination, this role manages transportation documentation, compliance requirements, customer billing, and administrative support functions. The ideal candidate is highly organized, detail-oriented, and able to thrive in a fast-paced environment where accuracy and responsiveness are critical.
Essential Duties and Responsibilities
Logistics Coordination
• Coordinate final-mile pickup and delivery schedules.
• Monitor shipment status and proactively communicate updates.
• Serve as the primary point of contact for customers, job site personnel, carriers, and drivers.
• Verify delivery locations, site access requirements, and schedule details.
• Resolve transportation issues and service disruptions quickly and professionally.
• Support after-hours communication when operational needs require.
Data Center & Site Compliance
• Collect and submit required site access documentation.
• Coordinate security clearance requirements and delivery approvals.
• Ensure compliance with site-specific procedures and customer requirements.
• Verify delivery paperwork and manifests before dispatch.
Documentation & Administration
• Collect proof of delivery documents, bills of lading, gate receipts, and related paperwork.
• Review transportation documentation for completeness and accuracy.
• Maintain shipment records within the transportation management system.
• Enter operational data and customer information accurately and timely.
Billing & Financial Administration
• Process customer invoices and billing transactions daily.
• Review documentation to ensure invoices align with completed services.
• Investigate and resolve billing discrepancies.
• Maintain accurate records to support revenue recognition and customer reporting.
Requirements
• 2-4 years of experience in logistics, transportation, dispatch, customer service, or operations coordination.
• Experience with billing, invoicing, or transportation administration preferred.
• Strong proficiency with Microsoft Office, especially Excel and Outlook.
• Experience working with transportation or logistics software preferred.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities and deadlines simultaneously.
