Description:

Electric Power Systems, Inc., is a unique company offering a wide range of experience and education in power system operations, design, consultation, studies, petroleum industry controls, and general engineered systems. We provide extensive services from planning studies, design and construction to periodic testing and maintenance. We are currently seeking a friendly and skilled assistant to join our Wireman Crew construction administrative team.

Responsibilities:

This person will be responsible for working directly with the wireman crew. Daily tasks include but are not limited to:

• Collect, review, and input crew timesheets for payroll

• Collect, review, code, and submit receipts and material packing slips to accounting department

• Mange crew company credit cards

• Enter and approve coding, time, budgets, billings, change orders, etc. in NetSuite

• Review, code, and approve vendor invoices

• Manage wireman calendar

• Help Wireman Manager to manage wireman projects, employee certificates and documents, base passes, schedules, and budgets

• Notarize contracts and bid documents

• Track historical project data

• Assist with updating crew rates and equipment rates

• Arrange crew logistics for travel and lodging for staff for out-of-town work.

• Assist with new hire and severance paperwork from union hall and manpower requests

• Assist with safety material orders, project plans/procedures, quality control, and weekly safety meeting minutes

• Assist with equipment purchases, licenses, and certificates

• Assist with bid and proposal files including tracking website bid postings, preparation of bid documents, creating work plans and project schedules, request bid bonds and builders risk quotes, vendor and subcontractor quotes, organization and setup of electronic bid files, and create bid documents/proposals for supervisors using bid unit sheets.

• Coordinate monthly/as-needed invoicing of active jobs ensuring timely billing to clients, and track status on all active projects

• Track project impacts, change orders, man hours

• Coordinate and assist with trade shows

• Manage wireman department website

• Interface with subcontractors, vendors and suppliers to coordinate services or materials

• Prepare and submit permit applications including base dig permits, Right-of-Way, Traffic Control, submit locates, insurance documentation and other required pre-construction documentation including internal job set-up and closure

• Regular interface with clients for reporting, job tracking, invoicing, etc.

• Prepare required construction project submittal documents, schedules, daily reports, and close-out documents for clients

• Assist with internal reports and preparation of monthly budget-to-actual reviews and cost-to-complete reports

• Attend weekly/monthly job site meetings with clients

• Must be able to review contracts in detail

• Order crew office supplies

Requirements:

• Must be able to socialize with various personalities and have excellent verbal and written communication skills.

• Ability to multi-task with frequent interruptions while remaining positive, organized and accurate.

• Ability to compose letters and memorandums; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures.
