Position SummaryThe Mail Room Supervisor is responsible for overseeing the daily operations of the mailroom, ensuring the timely and accurate processing, sorting, distribution, and collection of incoming and outgoing mail, packages, and internal correspondence. This role supervises mailroom staff, maintains operational efficiency, enforces quality standards, and serves as the primary point of contact for mail-related services within the organization.
Key Responsibilities- Supervise and coordinate all daily mailroom operations.
- Lead, train, coach, and evaluate mailroom team members.
- Monitor workflow to ensure timely processing and delivery of mail, packages, and courier shipments.
- Ensure compliance with company policies, postal regulations, and security procedures.
- Maintain accurate records of mail volume, shipping expenses, and delivery performance metrics.
- Coordinate with shipping carriers, couriers, and postal service representatives.
- Troubleshoot operational issues and implement solutions to improve efficiency.
- Manage inventory of mailroom supplies, equipment, and shipping materials.
- Perform quality checks to ensure accuracy and service standards are met.
- Develop schedules and assign work based on business needs and staffing requirements.
- Maintain a safe and organized work environment.
- Assist with budget management and cost-control initiatives.
- Generate operational reports and communicate performance results to management.
QualificationsRequired- High school diploma or GED required.
- 2+ years of supervisory or leadership experience.
- 3+ years of experience in mailroom, shipping/receiving, logistics, or related operations.
- Strong organizational and time-management skills.
- Experience using shipping software and office technology.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
- Excellent communication and customer service skills.
- Ability to prioritize tasks and manage multiple deadlines.
Preferred- Experience working in a corporate, healthcare, legal, education, or manufacturing environment.
- Knowledge of USPS, FedEx, UPS, and courier service procedures.
Physical Requirements- Ability to lift and move packages up to 50 pounds.
- Ability to stand, walk, bend, and reach throughout the workday.
- Ability to operate mail processing and shipping equipment safely.
