Job Title: Custody Operations Specialist

Job Description

The Custody Operations Specialist works in a large, quiet vault environment, handling physical loan files and ensuring they are accurately stored, tracked, and retrieved. This is a first-shift position, Monday through Friday from 8:00 a.m. to 4:30 p.m., that requires extensive walking, frequent use of step stools, and continuous attention to detail while working with both physical documents and computer systems.

Responsibilities

• Perform a variety of vault functions, including pulling files, returning files to their proper locations, and conducting quality control checks to ensure accurate filing.
• Verify that loan files are stored in the correct locations according to customer and loan number arrangements.
• Search shelves thoroughly when a file appears to be missing, checking the remainder of the shelf and surrounding areas.
• Use computer systems and search tools to research the status and location of missing files, including reviewing where the file was last seen and identifying files brought in at the same time.
• Physically search for misplaced files in desks, under desks, on carts, and other potential storage areas within the vault.
• Navigate multiple computer databases and applications to locate information related to document custody and file tracking.
• Maintain a high level of accuracy and attention to detail in all filing, verification, and research activities.
• Work on your feet approximately 80% of the time, including walking throughout a large vault and climbing step stools as needed.
• Handle production-based tasks related to document custody, releases, and filing in a timely and efficient manner.
• Use Microsoft Office tools, particularly Excel, to support tracking, reporting, and research activities.
• Lift boxes or files up to 30 pounds as needed in the course of daily vault operations.
• Multitask effectively in a production-oriented environment, balancing physical file handling with computer-based research and documentation.

Essential Skills

• Basic Microsoft Office skills, with particular emphasis on MS Excel.
• Production-based experience, preferably in a high-volume or operations environment.
• Excellent verbal, written, and interpersonal communication skills.
• Strong analytical skills with a high level of attention to detail and accuracy.
• Ability to navigate multiple computer systems, applications, and search tools to find information.
• Ability to multitask and manage several tasks simultaneously in a production setting.
• Ability to lift up to 30 pounds safely.
• Comfort working on your feet most of the day, including extensive walking and climbing step stools.
• Ability to navigate various computer databases related to document custody and file management.

Additional Skills & Qualifications

• Experience working with document custody, vault operations, or filing systems.
• Familiarity with production environments where accuracy and speed are both critical.
• Proficiency using Microsoft Office, including Excel, for data entry, tracking, and research.
• Demonstrated ability to perform detailed research to locate missing or misplaced items.
• Strong attention to detail in both physical document handling and computer-based work.
• Comfort working with carts and other equipment used to move files within a large vault.
• Ability to remain focused and organized while working on your feet for extended periods.

Work Environment

The role is based in a quiet but very large vault that functions as an office warehouse full of files, arranged by customer and loan number. You are on your feet most of the day, walking through aisles of shelving and occasionally climbing step stools to access files. The dress code is business casual, with comfortable shoes recommended; tennis shoes are acceptable due to the amount of walking required. You work with carts to move files and use computer systems and databases at designated workstations. The schedule is first shift, Monday through Friday, from 8:00 a.m. to 4:30 p.m., providing a consistent daytime work routine.

This is a Contract to Hire position based out of Minneapolis, MN.

The pay range for this position is $18.00 - $18.00/hr.
