Job description

For nearly 40 years, Fairfax Cryobank, Inc. a division of the GIVF, has provided fertility preservation services for individuals, reproductive tissue storage, and the highest quality donor sperm. Fairfax Cryobank Inc. serves clients nationwide and around the globe. We are seeking a full- time Medical Front Desk Administrative Assistant at our Philadelphia, PA location.


Candidates must project a warm, confident and professional image in-person and over the phone. Candidates must be outgoing, personable, flexible and extremely organized. Accuracy and attention to detail is critical. Willingness to learn and desire to grow the practice is essential.


Key Responsibilities:

  • Answer incoming e-mails, phone calls and voicemails
  • Schedule appointments
  • Greet clients/donors upon arrival, confirms necessary personal information, and notifies clinical staff of client arrival
  • Checks in donors and client depositors
  • Work with Site Manager, Laboratory Supervisor, Storage Manager, and DD Coordinator to perform storage coordination for clients
  • Create new clients in GEMS
  • Create charts for new client depositors and transfer storage clients (semen, embryos, oocytes)
  • Prepare intake paperwork for receiving transfer storage client samples
  • Place orders for client samples (semen and embryos) from storage
  • Invoicing clients
  • Shipping and courier related tasks: paperwork, scheduling, tracking, etc
  • Scanning Client and Donor paperwork
  • Filing Client and Donor paperwork
  • Maintain inventory of office and breakroom supplies
  • Maintain orderliness of client and donor waiting rooms
  • Assist Laboratory staff with paperwork preparation as needed
  • Other Administrative duties as needed


Other Responsibilities:

  • Second verifier during inventory or outgoing shipments as needed
  • Maintain orderliness of breakroom


Knowledge:

  • Front desk office experience or equivalent experience in Customer Service


Skills:

  • Strong computer skills (Microsoft programs)
  • Good verbal communication skills


Abilities:

  • Ability to multi-task in a fast-paced environment
  • Strong organizational and problem-solving skills


Position Requirements:

  • High School Diploma required. Associate’s or Bachelor’s degree in health care related field preferred.
  • Must have basic customer service skills, be LGTBQX friendly, and comfortable working with diverse clientele
