SUMMARY

In support of the universityโ€™s mission and objectives, the Copy Center Specialist supports the universityโ€™s printing, copying, and mail service functions. This role ensures the timely and accurate production of print and copy requests through effective job coordination, communication, quality assurance, and inventory management. This position supports mailroom operations and contributes to efficient, high-quality service delivery to the university community.


Copy Center Operations
  • Receives, and processes print and copy requests in a timely manner.
  • Operates and maintains copiers, printers, finishing equipment, and related systems.
  • Ensures print jobs meet quality control standards, such as color accuracy, alignment, and finishing.
  • Monitors production schedules and prioritizes work to meet deadlines.
  • Audits and verifies printing charges for accuracy and maintains job records.ย 
  • Coordinates equipment servicing requests with external vendors as needed.
  • Ensures proper use and care of all Copy Center equipment.
  • Serves as a primary liaison between the Copy Center and campus departments.
  • Addresses and resolves concerns in a professional and timely manner.
  • Monitors and maintains an appropriate inventory of paper, toner, and related printing supplies.
  • Processes, tracks, and manages departmental orders of paper and stationery.
  • Organizes and stores printing materials and supplies.
  • Drives a university vehicle to deliver print jobs and paper supplies across campus and to pick up supplies as needed.
  • Prepares and provides monthly departmental supply charge reports.
  • Assists in tracking university-wide office count information and makes adjustments when employees are onboarded and offboarded.
  • Processes and installs employee nameplates as requested.
  • Attends appropriate training and professional development activities, as required.
Mail Services Support
  • Communicates with carrier representatives regarding mail and shipping inquiries.
  • Collects, sorts, delivers, and distributes campus (interoffice) mail and U.S. mail.ย 
  • Operates postage meter equipment and utilizes package-receiving software accurately and efficiently.
  • Processes incoming and outgoing mail and packages in accordance with established procedures.
  • Drives a university vehicle to deliver mail and packages across campus.
  • Performs other duties as assigned.
EDUCATION

Post high school training required; Bachelor's degree preferred, or equivalent experience.
Coursework or training in printing and graphic communications, operations support, logistics, or a related field preferred. Xerox Production Print Certification (or equivalent), Certified Administrative Professional (CAP), and/or Microsoft Office Specialist (MOS) certification, strongly preferred.

EXPERIENCE

1+ years of experience working in a fast-paced, deadline-driven service environment, required. Experience in customer service, print production, inventory and supply management, administrative support, vendor coordination, and records management, strongly preferred.
