Location: Philadelphia, PA 19103
Pay Rate: $18.00–$19.00/hour

Job Summary

We are seeking an experienced Office Services / Copy & Mail Specialist to support daily operations within a legal office environment. The primary responsibilities include mail, copy, print, fax, scanning, shipping/receiving, and document support.


The successful candidate must have copy/print experience, PC experience, and strong customer service skills. Candidates must also be able to lift up to 50 pounds and walk/stand while completing copy jobs.


Key Responsibilities

  • Operate high-volume copying, printing, scanning, faxing, and mail-processing equipment.
  • Perform copying, binding, finishing, and document scanning tasks.
  • Sort, distribute, and process incoming and outgoing mail and faxes.
  • Apply postage and operate postage equipment.
  • Ship and receive products and supplies.
  • Handle sensitive and confidential documents with the highest level of quality and accuracy.
  • Operate MS Office, email systems, scanners, and image-handling software.
  • Perform filing, document purging, archiving, scanning, file conversion, and file naming.
  • Maintain copier areas, supplies, daily meter logs, service logs, and inventory records.
  • Clear paper jams and communicate equipment issues to technicians.
  • Calculate charges for completed jobs and maintain billing logs.
  • Respond to customer questions regarding job status and feasibility.
  • Deliver completed jobs to designated customer locations.
  • Use bindery equipment and other office equipment to complete various jobs.
  • Perform OCR, file formatting, and other document-processing duties.
  • Support projects completed off site.
  • Provide professional support to legal secretaries, project managers, paralegals, associates, and partners.
  • Complete accurate, high-quality work within tight deadlines and potentially high-pressure situations.
  • Perform other duties as assigned.


Qualifications

  • High school diploma, GED, or equivalent work experience.
  • Copy/print experience required.
  • PC/computer experience required.
  • Strong customer service skills required.
  • Ability to lift up to 50 pounds.
  • Ability to walk and stand while completing copy jobs.
  • Basic computer skills and proficiency with MS Office Suite.
  • Technical aptitude with printers, copiers, fax machines, postage machines, and other office equipment.
  • Good organizational and communication skills.
  • Knowledge of shipping and receiving procedures.
  • Strong troubleshooting and problem-solving skills.
  • Ability to work independently and flexibly.
  • Ability to read and comprehend written technical information.
  • Excellent customer relations and verbal communication skills.
  • Minimum 1 year of legal industry experience is strongly desired.
  • Copy job experience is preferred.
  • Ability to complete company-required legal training within 90 days of hire and maintain any new training requirements.
