Description

The CSO Administrative Assistant serves as the face of the Community Support Office (CSO), creating a welcoming, professional, and service-oriented environment that reflects Walton's Mission and Vision. This role acts as a Hospitality Ambassador and CSO Coordinator, supporting team members, guests, candidates, residents, vendors, and business partners while ensuring efficient daily office operations.

The CSO Administrative Assistant enhances the guest, employee, and candidate experience through exceptional customer service, administrative support, office coordination, technology utilization, and continuous process improvement.


Key Responsibilities

Hospitality & Guest Experience

  • Serve as the first point of contact for visitors, candidates, business partners, and guests.
  • Provide a warm, professional welcome and maintain an inviting office environment.
  • Coordinate guest accommodations, meeting preparations, and special visits.
  • Represent Walton professionally while promoting a culture of hospitality, service, and relationship building.
  • Manage office refreshments and coordinate food service for meetings, trainings, and employee events.

Office Operations & Administrative Support

  • Manage incoming calls, emails, mail, deliveries, and visitor requests.
  • Coordinate meeting schedules, conference rooms, office events, and employee engagement activities.
  • Maintain office supplies, equipment, directories, and common areas.
  • Support leadership and team members with administrative projects and special assignments.
  • Identify, report, and coordinate resolution of office facility needs while recommending improvements that support an efficient, professional, and welcoming environment.

Community Support & Employee Experience

  • Assist residents and applicants by providing information and directing inquiries to appropriate resources.
  • Serve as the initial point of contact for candidate check-ins, interview preparation, and orientation activities.
  • Coordinate office communications and foster employee engagement through office events, recognition programs, and celebrations.

Technology & Process Improvement

  • Utilize  Microsoft Office, SharePoint, ServiceNow, Concur, and other company systems effectively.
  • Maintain accurate records, calendars, reports, and office communications.
  • Troubleshoot  basic technology issues and coordinate with IT as needed.
  • Identify opportunities to improve administrative processes, efficiency, and service delivery.

Marketing & Communications Support

  • Assist with marketing mailings, office communications, and promotional materials.
  • Review company websites and marketing resources for accuracy and consistency.

Qualifications

Education

  • High School Diploma required.
  • Associate's or Bachelor's Degree preferred.

Experience

  • Experience in office administration, hospitality, customer service, or corporate support.
  • Proficiency with Microsoft Office Suite and business technology systems.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining exceptional service standards.
