Position Overview

We are seeking a detail-oriented and experienced Part-Time and possibly Full-Time Controller to manage the day-to-day financial operations of our organization. This role is responsible for maintaining accurate financial records, ensuring timely processing of payables and receivables, and providing reliable financial information to support business decision-making. The ideal candidate is highly organized, trustworthy, and capable of working independently with minimal supervision.


Key Responsibilities

Bookkeeping & General Accounting

  • Maintain accurate and up-to-date financial records using QuickBooks
  • Record daily financial transactions including income, expenses, and journal entries
  • Maintain the general ledger and ensure all accounts are properly coded and classified
  • Assist in the preparation of monthly, quarterly, and year-end financial reports

Accounts Receivable & Invoicing

  • Prepare and issue customer invoices in a timely and accurate manner
  • Monitor outstanding receivables and follow up on past-due accounts
  • Record and apply customer payments

Accounts Payable & Bill Payment

  • Review and process vendor invoices for payment
  • Schedule and execute bill payments via check, ACH, or online platforms
  • Maintain vendor records and manage payment terms

Bank & Credit Card Reconciliation

  • Reconcile all bank accounts and credit card statements on a monthly basis
  • Identify and resolve discrepancies in a timely manner
  • Monitor cash flow and report any concerns to management

Financial Reporting & Support

  • Prepare monthly financial summaries including profit & loss statements and balance sheets
  • Support annual audit or tax preparation by providing documentation and schedules to external CPA
  • Assist with budget tracking and variance analysis as needed


Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred; equivalent work experience considered
  • Minimum [3–5] years of bookkeeping or accounting experience
  • Proficiency in QuickBooks (Online and/or Desktop) required
  • Strong knowledge of general accounting principles (GAAP)
  • High level of accuracy and attention to detail
  • Ability to handle confidential financial information with discretion
  • Strong organizational and time management skills
  • Proficiency in Microsoft Excel and/or Google Sheets
