Essential Duties & Responsibilities:

  • Automotive and CDK experience 2 Years
  •  Organize all paperwork in each deal, checks for accuracy in the application documents information is complete.
  • Deal recap worksheet ensures gross accuracy.
  • Posts vehicle sales and purchases in DMS System. (CDK)
  • Verifies that all funds (Cash, Checks EFT) have been collected and receipt all monies received for new and used car deals daily.
  • Maintaining a weekly heat sheet log of all contracts, down payment, DMV, Incentive, F & I reserve Issues and issues a written memo to managers.
  • File all Certificates of Origin in inventory jackets.
  • Process pay-off checks for trade-ins and mail to appropriate financial institution in a timely manner. 
  • Prepares inventory jackets for new and used vehicles. Post new and used pack.
  • Processes/registers all vehicle new and used warranties and extended service contracts.
  • Reconcile schedules and post monthly, Incentive, F & I reserve statements, Packs, Extended service contracts statements, Sales Tax worksheet copy to office manager / Controller at end of month.
  • Generate and maintain the salesperson’s commission reports and list of commissions on-hold. / Copy to office manager
  • Answer customer inquiries or concerns in person, e-mail, fax, or telephone in a professional, customer- focused manner.
  • Prepares title documents submit all legal transfer work to the Department of Motor Vehicles.
  • Verify lien holder paid off before processing title applications
  • Maintains a system to verify out-of-state titles.
  • Compiles and maintains a complete list of all outstanding title work. Reports to management on the status of any missing or problem titles and provides a current list of outstanding titles to the office manager / Controller at the end of month.
  • Signs over titles for all wholesalers who have paid in full. Prepares a monthly report to management of any funds not collected from wholesalers due to missing or incomplete title work.
  • Other tasks as assigned
