Data Center Safety Administrator

Reports To: Project Safety Manager / EHS Manager

Location: Project Site (Data Center Construction Project)

Position Type: Full-Time


Position Summary

The Data Center Safety Administrator supports all administrative aspects of project safety operations, including onboarding, compliance tracking, safety documentation, training records, reporting, audit support, subcontractor safety requirements, and workforce tracking. This position serves as the administrative backbone of the project safety team and plays a critical role in maintaining compliance, supporting safety leadership, and ensuring accurate project safety records. The role is primarily office/trailer based but requires daily interaction with project personnel, subcontractors, and site safety staff.


Primary Responsibilities Contractor & Employee Onboarding
  • Manage site sign-in applications and workforce tracking systems.
  • Track employee orientation completion, onboarding metrics, and workforce headcount reports.
  • Maintain onboarding and orientation records for all project personnel.
Safety Documentation & Compliance
  • Maintain employee and subcontractor safety files, ensuring all documentation is complete, current, and audit-ready.
  • Track and manage Personal Protective Equipment (PPE) issuance records and related documentation.
  • Maintain subcontractor safety documentation including safety plans, training records, certifications, and project-specific compliance requirements.
  • Manage project safety documentation within Procore and other project management platforms.
  • Monitor corrective actions resulting from audits, inspections, observations, and incidents to ensure timely closure.
JHA / Permit Administration
  • Review submitted Job Hazard Analyses (JHAs) for completeness.
  • Collect and maintain daily JHAs from subcontractors.
  • Track permit-required activities including:
    • Hot work permits
    • Confined space permits
    • Excavation permits
    • Energization permits
    • LOTO documentation
  • Maintain project permit logs and filing systems.
Safety Reporting & Data Management
  • Maintain incident, injury, near miss, and claim documentation files in accordance with company and client requirements.
  • Track safety audit findings, corrective actions, and closure status.
  • Assist with weekly and monthly safety performance reporting for project leadership and client teams.
  • Support safety KPI dashboards, trend tracking, and project safety scorecards.
Audit & Inspection Support
  • Organize documentation for client audits and safety inspections.
  • Assist site safety leadership with audit preparation.
  • Maintain electronic and hard-copy safety records.
  • Ensure project files remain organized and accessible.
Project Administrative Support
  • Assist Safety Managers, Safety Specialists, and Project Leadership with administrative and compliance-related tasks.
  • Coordinate safety meetings and maintain attendance records and documentation.
  • Prepare agendas, sign-in sheets, training materials, and meeting minutes.
  • Support project communication between field personnel, subcontractors, and safety leadership.
  • Help ensure safety administrative requirements are completed accurately and on time.
  • Anticipate documentation needs and proactively assist Safety Managers in maintaining compliance.
  • Maintain organized electronic and hard-copy filing systems for all project safety documentation.

Required Qualifications
  • High School Diploma or GED required.
  • 2+ years of administrative, safety, construction, or project coordination experience preferred.
  • Strong Microsoft Office skills including:
