Job description

POSITION SUMMARY:

The RN Supervisor Clinical Trauma Registry oversees the daily operations of the Trauma Registry at Boston Medical Center, ensuring high quality, timely, and accurate trauma data for New England's busiest Level I Adult Trauma Center. This role supervises five trauma registrars, prioritizes daily workflow, and ensures full compliance with all state and national reporting requirements, including submissions to NTDB/TQIP and the Massachusetts Department of Public Health Trauma Registry.
Key responsibilities include maintaining data integrity through concurrent abstraction, validation, and audit readiness; managing the trauma registry software in partnership with the vendor and BMC ITS; and implementing required updates from ACS, TQIP, NTDB, and MA DPH. The Supervisor provides clinical expertise and training in AIS and ICD 10 CM coding, supports staff development, and ensures adherence to ACS COT and state data standards.
The role processes and delegates trauma related performance improvement, quality review, and research data requests, supporting the Trauma Program's clinical, operational, and strategic needs. The Supervisor collaborates closely with Trauma Program leadership and represents the program through professional networking and education to maintain current registry best practices.

ESSENTIAL RESPONSIBILITIES / DUTIES:

  • Supervise daily Trauma Registry operations by directing workflow, overseeing trauma registrars, and ensuring accurate, timely abstraction, ICD10 coding, data entry, and report generation.

  • Ensure all registry staff are fully trained and competent in trauma data abstraction, ICD10CM coding, AIS coding, data entry, and report writing, and maintain ongoing education to support highquality data practices.

  • Maintain staff competency in ICD10 and AIS coding by facilitating participation in ACSmandated courses, including American Trauma Society Trauma Registry training and AAAM AIS certification.

  • Lead Trauma Quality Improvement Program (TQIP) participation, ensuring staff engagement in Data Dictionary updates, webinars, quizzes, and all required education.

  • Support ACS and Massachusetts DPH trauma center verification and designation, collaborating with the Trauma Program Manager and Trauma Medical Director on data collection, report preparation, record review, and onsite survey activities.

  • Coordinate and serve as primary staff support for the monthly Trauma Multidisciplinary Committee (TMC).

  • Prepare, analyze, and validate trauma registry data to meet all quarterly reporting requirements for TQIP and the Massachusetts Department of Public Health.

  • Conduct routine data validation audits to identify discrepancies, correct errors, and maintain accuracy, concurrency, and audit readiness within the registry.

  • Prepares, as directed, performance improvement reports for the Trauma Service, JCAHO, American College of Surgeons (ACS), and the state and national registries (NTDB).

  • Identify opportunities for database enhancement and collaborate with BMC IT, the registry vendor, MA DPH, TQIP, and EMS systems to improve data collection processes and registry functionality.

  • Collaborate with clinical teams to analyze trauma data, identify trends, and support performance improvement and operational decision making.

  • Serve as the primary point of contact for research requests, coordinating trauma registry data for grants, publications, injury prevention initiatives, and multidisciplinary research projects.

  • Represent the BMC Trauma Program at state, regional, and national meetings, contributing to professional collaboration and sharing best practices.

  • Coordinate staff scheduling and time off requests with the Trauma Program Manager to ensure continuous registry coverage and smooth workflow.

  • Ensure compliance with HIPAA and BMC confidentiality standards, maintaining strict protection of patient information and secure data handling practices.

  • Perform related duties as assigned, supporting the Trauma Program's operational, regulatory, and quality improvement needs.

JOB REQUIREMENTS

EDUCATION:

Bachelor's Degree in Nursing required. Knowledge and proficiency in medical terminology and anatomy required.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

  • Current Commonwealth of Massachusetts Registered Nurse License requrie by the hire date.

  • Must maintain Certified Specialist in Trauma Registry Certification-CSTR requried by the hire date.

  • Must obtain and maintain Certified Abbreviated Injury Scale Specialist certification-CAISS requried by the hire date.

Must successfully complete or have previously completed the following 2 courses within 12 months of hire:

  • The American Trauma Society's Trauma Registry Course or equivalent provided by a state trauma program

  • The Association of the Advancement of Automotive Medicine's Injury Scaling (AAIS) Course

EXPERIENCE:

  • Experience with ICD-10-CM inpatient coding required.

    KNOWLEDGE AND SKILLS:

    • Proficient in ICD-10, AAAM coding, AIS/ISS scoring, TRISS scoring

    • Proficiency in PowerPoint/Excel/Word/Access, as well as Outlook

    • Advanced medical terminology knowledge required.

    • Advanced anatomy and physiology knowledge required.

    • Strong written and oral communication skills

    • Strong time management and organizational skills.

    • Demonstrated computer skills.

    • Effective communication skills required.

    • Ability to multitask with prioritizing and meeting deadlines

    • Knowledge of how errors impact users; database; and application.

    • Ability to utilize critical thinking skills to prioritize and problem-solve complex work assignments.

    Compensation Range:

    $89,500.00- $130,000.00

    This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
