Job description

Responsibilities

As a Contract Administrator, you will support construction and development teams in the administration, coordination, and execution of contracts related to commercial construction projects, including mission-critical and data center developments. This role is responsible for maintaining contract documentation, tracking compliance requirements, supporting vendor and subcontractor management, and ensuring consistency throughout the contract lifecycle across active construction projects.

You will work closely with Development and Construction Management Teams, Cost Management, Procurement, Legal, Risk Management, Accounting and Project Teams to facilitate timely execution of agreements, monitor contract status, and support operational efficiency from project inception through closeout.

This position is ideal for a detail-oriented professional who thrives in a fast-paced construction environment and is passionate about supporting successful project delivery through strong contract administration practices.

  • Prepare, review, process, and track construction-related contracts, including subcontractor agreements, vendor contracts, purchase orders, and service agreements.
  • Assist with review of contract terms and identify deviations from approved company standards for escalation and resolution.
  • Maintain a centralized contract management system and ensure all project documentation is accurate, current, and properly archived.
  • Monitor contract execution status, key milestones, insurance certificates, compliance requirements, renewals, and expiration dates.
  • Coordinate with Legal and Risk Management to ensure contracts align with approved company standards and risk mitigation requirements.
  • Support subcontractor and vendor onboarding processes, including collection and review of required documentation.
  • Support contractor and vendor prequalification processes, including review of qualification packages, financial statements, insurance requirements, licensing documentation, and related due diligence materials.
  • Assist project teams with contract modifications, change orders, amendments, and closeout documentation.
  • Collaborate with Construction Project Managers, Cost Management, Procurement, Accounting, and Operations teams to support project execution, contract administration, and compliance requirements.
  • Assist in the review and processing of contractor award packages, including bid documentation, contractor qualifications, financial information, compliance requirements, and supporting award materials.
  • Coordinate with Cost Management and Accounting teams to ensure contract values, amendments, commitments, and supporting documentation are accurately maintained throughout the project lifecycle.
  • Track and maintain contractor insurance, licensing, and compliance documentation.
  • Support administration of contracts associated with mission-critical and data center projects, including equipment procurement and specialized trade contractors.
  • Support implementation and ongoing administration of contract lifecycle management (CLM) tools and workflow processes.
  • Identify opportunities to improve efficiency, standardization, and reporting within construction contract administration processes.
  • Generate reports related to contract status, compliance tracking, insurance documentation, and key contract milestones.
  • Assist in maintaining contract templates, standard forms, and administrative procedures.

Qualifications
  • 5-10 years of experience in contract administration, preferably within construction, real estate development, or commercial construction operations, mission-critical facilities, or data center projects.
  • Bachelor’s degree in Business Administration, Construction Management, Real Estate, or related field preferred.
  • Experience managing construction contracts, subcontractor agreements, and project documentation.
  • Familiarity with contract lifecycle management systems and document control platforms.
  • Understanding of construction terminology, compliance requirements, insurance documentation, and risk management practices.
  • Familiarity with MEP-intensive projects, equipment procurement, commissioning activities, or data center construction environments preferred.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills with the ability to work collaboratively across departments and project teams.
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
  • Experience reviewing contractor qualification packages, financial information, and compliance documentation preferred.
  • Demonstrated professionalism, discretion, and ability to maintain confidentiality.

Compensation 

The anticipated base salary range for this position is listed below. In addition to a competitive base salary, you will be eligible to receive discretionary bonus incentives and a comprehensive benefits package.
Anticipated base salary range: $100,000 - $120,000
Actual base salary within the anticipated range will be determined by several components including but not limited to the individual's experience, skills, qualifications, and market factors.
